Requirements
  • At least 3 years of experience as a payroll specialist or administrator, including international payroll or payroll across multiple organizations or entities and pay cycles.
  • Excellent attention to detail, exemplary organizational skills, and strong written and verbal communication skills across teams and time zones.
  • Hands-on experience working in human resources information systems.
  • Ability to recognize matters requiring escalation and communicate them clearly.
  • Ability to communicate clearly, concisely, and thoughtfully across time zones.
  • Ability to manage multiple competing priorities in a dynamic and fast-paced environment.
  • Familiarity with statutory payroll mechanics in several of the following: garnishments; United Kingdom PAYE and pension management; Netherlands Zvw contributions; Singapore CPF; Malaysia SOCSO/EPF; general Latin American social security; contractual versus at-will employment; and FLSA classifications.
  • Experience calculating and processing variable compensation, including bonuses, commissions, incentives, and other supplemental earnings, while ensuring accuracy and compliance with local payroll regulations.
  • Technology experience with HRIS systems.
Responsibilities
  • Respond to payroll inquiries with professionalism, empathy, and accuracy, resolving issues promptly.
  • Process global payroll across all company entities and Employer of Record platforms while managing multiple concurrent payroll cycles.
  • Maintain compensation, health benefits, and retirement plan administration across multiple jurisdictions, including regular audits and reviews.
  • Maintain payroll checklists, country-specific standard operating procedures, and payroll documentation, including monthly retirement and benefits audits.
  • Maintain working knowledge of international tax, social security, and retirement requirements across the territories where the company operates.
  • Flag regulatory changes requiring payroll configuration updates and take ownership of timely filings and registrations with United States and international statutory payroll agencies.
  • Coordinate with local in-country service providers to run international payroll accurately and on time.
  • Manage relationships with payroll vendors and external partners to resolve delays and issues.
  • Maintain payroll controls, including approval workflows, segregation of duties, and regular audit-trail reviews.
  • Lead efforts to automate and scale payroll operations.
  • Partner with Human Resources, Finance, and other teams to establish and refine global payroll practices.
  • Manage payroll-related notices, wage garnishments, tax notices, agency audits, statutory workforce reporting, and other federal, state, and local agency communications with Human Resources, Finance, and Legal.
  • Bring at least one payroll process improvement or enhancement forward each quarter.
  • Support United States and international payroll transformation efforts, including automation initiatives, as the company expands into new markets.
  • Communicate payroll matters clearly to colleagues and senior leadership, translating technical details into relevant guidance.
  • Investigate and resolve payroll discrepancies, identify root causes, and implement preventative solutions.
  • Maintain accurate payroll records and employee data, ensuring confidentiality and compliance with data privacy requirements.
  • Maintain complete and accurate documentation to support internal and external payroll audits.
  • Stay current on payroll legislation, tax changes, and best practices, and apply updates to payroll processes.
  • Complete onboarding and shadow at least one full payroll cycle end-to-end across multiple entities.
  • Build working relationships with local in-country payroll providers and Human Resources and Finance partners.
  • Independently manage global payroll operations, ensuring all payroll cycles are completed on time and comply with applicable regulations.
  • Identify opportunities to streamline processes, strengthen controls, improve efficiency, and enhance the employee payroll experience.
Desired Qualifications
  • Experience with Rippling, MTH Numbers, or Vistra.
  • Knowledge of GDPR, ERISA, HIPAA, COBRA, and emerging regulatory issues.
