Responsibilities
  • The Office of Graduate Programs troubleshoots for, advises, and monitors graduate student progress toward degree completion.
  • This position advises students about thesis/dissertation preparation and electronic submittal and performs preliminary and final checks.
  • Prepares correspondence, reports, and forms.
  • Answers the telephone, take messages and responds to requests.
  • Researches information and performs some analysis.
  • Assists in staff work for the Graduate Council.
  • Sets up and maintains records and files, and creates and maintains records.
  • Performs thesis/dissertation formatting checks.
  • Advises students on formatting, explains electronic Thesis and Dissertation (ETD) submittal process and accepts final documents.
  • Conducts end-of-term grade review and generates electronic notification letters (3x/yr).
  • Conducts academic standing analysis, maintains procedure notebook, conducts analysis for part of term grade rolls.
  • Update student record (holds) in database.
  • Collects agenda items for Graduate Council meetings (8x/yr) and subcommittees meetings (as needed); prepares and disseminates agendas, packets and minutes.
  • Maintains office records of Graduate Council membership and meetings.
  • Assists with budget and/or expense reports.
  • Monitors and records department invoices and expenses.
  • Reconcile P-Card/ file records, and create requisitions.
  • Print out monthly budget, payroll, organizational detail report.
  • Receives and responds to moderately complex correspondence following established procedures.
  • Solves general concerns about department services, policies or procedures.
  • Collects and compiles moderately complex information for inclusion in reports and/or presentation materials.
  • Creates and produces a variety of moderately complex documents, reports for the department.
  • Prepares charts, graphs and/or tables as necessary.
  • Performs general office support such as sorting/distribution of mail, copying documents, filing, and supply inventory.
