Requirements
  • One year of experience at Rogers in the Scheduling Specialist II role.
  • A high school diploma.
  • Three years of experience working in a hospital unit or office setting.
  • Computer experience.
  • A valid Wisconsin driver's license.
  • The ability to lift a minimum of 30 pounds.
  • The ability to read and communicate through written, verbal, and auditory skills.
  • The ability to complete a post-employment physical examination by a licensed physician.
  • Formal training in aggression control within 60 days of hire and annual recertification are required for applicable incumbents.
  • The ability to maintain confidentiality of sensitive payroll information.
  • An understanding of Joint Commission and other regulatory agency compliance regulations.
Responsibilities
  • Create centralized staffing schedules that provide daily nursing staff complements according to staffing-grid requirements and budgeted average census.
  • Create and post master schedules at least two weeks before each schedule begins, incorporating full-time, part-time, and float-pool staff.
  • Balance master schedules across the seven-day week and account for overtime and program budgets.
  • Respond to scheduling requests and unexpected staff absences by arranging cost-effective replacement coverage.
  • Prepare accurate daily staff assignments based on core assignments and skill mix, and verify that staff are in their assigned areas.
  • Use scheduling software to create and distribute open-shift lists at least 10 days before the schedule begins.
  • Create Microsoft Excel-based staffing variance reports, including staff predictions, utilization, target variances, justifications, and daily review information.
  • Anticipate staffing needs using current census and patient-activity information in collaboration with clinical managers and house supervisors.
  • Prepare and post staff assignments in collaboration with immediate supervisors and maintain accurate master schedules.
  • Prepare staffing-effectiveness reports, document calls made to fill staffing needs, submit agency-utilization data, compile staffing-to-grid ratios, and document reasons for variances.
  • Create and maintain schedules for scheduling staff, ensuring coverage for first and second shifts and one weekend shift.
  • Contact supplemental agency staff when authorized and when internal staffing resources have been exhausted; document alternatives considered and justify agency use.
  • Control agency utilization by validating invoices, resolving vendor discrepancies, preparing verified invoices for approval, and identifying opportunities to negotiate improved vendor rates.
  • Verify nursing staff time and attendance using daily assignment sheets and Kronos time-clock records.
  • Verify regular hours, process other non-worked hours such as paid time off and seminar attendance, document attendance issues, and submit verified payroll materials to the manager or director.
  • Work with clinical managers to implement annual staffing-grid budgets, identify staffing-adjustment factors, obtain approval for planned overtime, and report staffing variances.
  • Create four-week availability schedules for residential counselor, inpatient, and social work pool staff; monitor required shifts and communicate staffing concerns, training, tests, and appraisal information.
  • Oversee float-pool scheduling and utilization by communicating staff needs and availability, monitoring policy adherence, and escalating discrepancies to pool supervisors.
  • Learn and apply Joint Commission and other regulatory standards relevant to nursing and staffing effectiveness, and educate other disciplines about nursing regulations.
  • Participate in hospital committees, Performance Improvement team meetings, team projects, and the hospital Performance Improvement program.
  • Apply the Performance Improvement model, participate in or create improvement teams, and support hospital and nursing-department improvement plans.
  • Maintain professional conduct, respond to inquiries and tasks promptly, communicate concerns and solutions, comply with hospital policies, and attend professional-development seminars.
