Requirements
  • A bachelor's degree in accounting or business is required.
  • Three to five or more years of accounts payable experience are required.
  • Excellent verbal communication skills are required for communicating issues and providing concise, thoughtful updates to senior management.
  • Proficient Microsoft Excel knowledge, including sorting, filtering, formatting, and simple formulas such as SUM, AVERAGE, VLOOKUP, and pivot tables, is required.
  • Solid technical, analytical, and problem-solving skills are required.
  • Strong attention to detail and organizational skills are required.
  • The employee must be able to work a full-time, 40-hour-per-week schedule, including occasional off-hours as business needs require.
  • The employee must be able to sit for extended periods at a computer in a primarily sedentary position and use desktop computer peripherals.
  • A valid passport is required because limited travel may be necessary.
Responsibilities
  • Review invoices and check requests for accuracy, legitimacy, coding, supporting documentation, and proper authorization before processing.
  • Enter invoices and check requests daily into Stampli and the Microsoft Dynamics 365 accounts payable module, ensuring proper allocation to cost centers.
  • Manage American Express credit card documentation, approvals, tracking, and expense audits.
  • Assist the AP Lead with preparing monthly insurance invoices.
  • Assist the AP Lead with the open payables report and submit it to the Accounting Manager for approval before weekly check and automated clearing house runs.
  • Assist with check and automated clearing house runs, match invoices to checks, obtain signatures, and distribute or mail vendor checks.
  • Perform vendor account reconciliations, research and resolve discrepancies, and ensure the accuracy and completeness of accounts payable balances.
  • Support the monthly and year-end accrual process by preparing, analyzing, and recording accounts payable accruals in accordance with accounting policies and reporting requirements.
  • Assist with year-end audits by preparing audit schedules, providing supporting documentation, responding to auditor inquiries, and facilitating completion of audit requests.
  • Collaborate on special projects and process improvement initiatives by gathering data and supporting cross-functional efforts to improve operational efficiency and financial controls.
  • Monitor vendor accounts regularly to ensure payments are current.
  • Maintain current W-9 information for all active vendors.
  • Respond to and resolve vendor inquiries regarding invoice payment status, unpaid invoices, unapplied credits, and invoice discrepancies.
  • Maintain vendor information in Microsoft Dynamics 365, including entering new vendors and updating active vendors.
  • Sort and distribute incoming mail.
