Summary:
Administrative Assistant to the Chief Executive Officer, supporting and anticipating administrative and project needs of the Chief Executive Officer. As directed, this person will provide administrative support that includes presentation preparation, calendar maintenance, coordination of meetings, and execution of agendas, and minutes. This person must have advanced technical skills in Microsoft Suite, critical thinking, and excellent judgement.
RESPONSIBILITIES:
·Administrative assistance to the Chief Executive Officer as directed to ensure that company goals and objectives are accomplished, and operations run smoothly.
·Administrative support to the Chief Executive Officer may include:
oMaintain an accurate calendar, managing and logging incoming scheduling requests, rescheduling meetings upon request and proactively communicating changes and anticipating scheduling conflicts
oTrack tasks and projects to ensure appropriate prioritization with respect to deadlines and organizational developments
oPreparation of meeting materials and agendas as well as timely distribution of minutes, drafting presentations
oManage travel scheduling and arrangements and travel-related activities
oTrack and reconcile monthly credit card statements and complete and submit expense reports.
oLiaison with internal and external executives on various projects and tasks
oMaintain professionalism and strict confidentiality with all materials, exercising discretion at all times
oResponsible for setting up and maintaining executive office files and records including materials of a confidential nature. Ability to extract data from our system and manipulate into a usable form to generate and produce CST reports, presentations, summaries and briefs for executives as needed.
oAssist with other duties/projects as assigned.
Requirements/Qualifications:
·Bachelor’s Degree in Business Management or other related field preferred.
·Minimum of (5+) years of experience in providing high-level administrative & executive support required.
·Demonstrated (6) or more years of responsibility in progressive experience serving executive and strategic project administration.
Other Skills and Knowledge:
·Strong technical competency and an interest in learning about new software/technology applications adopted by the Firm.
·Excellent verbal and written communication skills.
·Sophisticated word processing and computer database skills, especially in Microsoft Suite.
·Ability to maintain confidentiality and discretion at all times.
·Understands importance of time management.
·Initiative-taker who is action oriented and solution focused.
·Highly organized and meticulous.
·Ability to think creatively and innovatively.
·Good interpersonal skills with the ability to work effectively with individuals and groups at all organizational levels, ability to work independently and as part of a team.

Physical Demands And Work Environment:
·Sitting/Standing/Walking: 100% of time is spent working at a desk.
·Speaking/Hearing: Clear diction and acute hearing are necessary for effective communication with co-workers, customers, and outside agencies, by telephone and on video.
·Vision: Ability to effectively use the computer screen and interpret printed materials, memos and other appropriate paperwork.

BPM COVID Vaccination Policy
