Requirements
  • Five to eight years of similar or related experience, including preparatory experience.
  • Knowledge of facilities and construction processes and methodologies, along with associated applications, to effectively manage projects.
  • An associate degree in Construction Management, Project Management, Engineering Technology, Facilities Management, Business Administration, or a related field is preferred; an equivalent combination of education, certifications, and directly related professional experience will be considered in lieu of the degree.
  • Ability to perform primarily sedentary work with limited physical exertion and occasional lifting of up to 75 pounds.
  • Ability to maintain regular, reliable, and timely attendance.
  • Ability to routinely work indoors in a climate-controlled shared work area and outdoors in varying heat and cold conditions.
  • Willingness to travel within the Advia footprint up to 25%, including possible multiple overnight stays.
  • Ability to perform job functions independently or with limited supervision and work effectively independently or as part of a team.
  • Ability to read and carry out written instructions and follow oral instructions.
  • Ability to speak clearly and deliver information in a logical and understandable sequence.
  • Ability to deal calmly and professionally with diverse personalities at various organizational levels and demonstrate customer service and discretion when dealing with the public.

  • Compliance with applicable laws and regulations, including the Bank Secrecy Act, the Patriot Act, and the Office of Foreign Assets Control, and adherence to organizational policies and procedures.
Responsibilities
  • Coordinate and manage all phases of assigned real estate, new construction, renovation, relocation, remodeling, facility update, and capital improvement projects from planning through project closeout.
  • Develop and maintain project schedules, budgets, scopes of work, contracts, project documentation, punch lists, status reports, and closeout materials.
  • Serve as the primary liaison between internal stakeholders, architects, engineers, contractors, landlords, consultants, vendors, and management throughout the project lifecycle.
  • Facilitate Owner, Architect, and Contractor meetings, project status meetings, field inspections, vendor coordination meetings, and stakeholder updates.
  • Monitor project progress, address issues, manage project risks, and support timely decisions to keep projects aligned with approved scope, schedule, budget, and organizational standards.
  • Assist in planning, executing, tracking, and reporting capital expenditure projects and facility investments across the organization.
  • Track project costs, forecast expenditures, review invoices and change orders, identify cost savings, and support value engineering efforts with awareness of total cost of ownership.
  • Work with Facilities Coordinators to support facility improvement projects, equipment replacements, major maintenance initiatives, onsite coordination needs, and operational facility support.
  • Provide project management guidance and practical support to Facilities Coordinators, including resource coordination, facility-work prioritization, and follow-up on project-related tasks.
  • Compile project status updates, budget reports, risk summaries, and project performance information for senior leadership.
  • Ensure projects comply with applicable building codes, permitting requirements, contractual obligations, vendor requirements, organizational standards, and regulatory expectations.
  • Maintain project records and documentation to support compliance, audit readiness, budget review, knowledge transfer, and ongoing operational continuity.
