Requirements
  • A university degree or equivalent combination of education and experience is required.
  • Three to five years of experience in an administrative position working within post-secondary education is required.
  • Experience creating budgets and reconciling expenses is required.
  • Excellent computer proficiency using Microsoft Office, particularly Excel, and the ability to maintain databases are required.
  • The ability to handle confidential and sensitive information with discretion is required.
  • The ability to analyze and interpret policies, procedures, and multifaceted situations is required.
  • Strong problem-solving skills are required.
  • The ability to handle multiple tasks independently and with minimal supervision is required.
  • The ability to establish priorities and meet deadlines is required.

Responsibilities
  • Provide comprehensive day-to-day financial administration for the School, including support for research grants, awards, contracts, operating funds, and trust funds.
  • Support and submit Concur expense reports for faculty, staff, visitors, and students.
  • Process and reconcile p-card transactions.
  • Review and submit invoices and internal charges.
  • Monitor and report on research, operating, and trust account activity.
  • Administer cash advances, including tracking issuance and reconciliations.
  • Support procurement by preparing purchase requisitions and liaising with Procurement and Contract Services.
  • Provide guidance to staff and faculty on financial practices and policies related to travel, expenses, research funds, and purchasing.
  • Create and maintain Concur users and provide user troubleshooting support.
  • Assist with monthly, quarterly, and year-end reconciliations and reporting.
  • Consult with the Faculty Financial Analyst and Office of Research as required.
  • Ensure compliance with Tri-Agency and other sponsor-specific financial guidelines.
  • Monitor account balances, assist with forecasting, and provide transaction-level support to Principal Investigators.
  • Coordinate with the Office of Research and Research Finance on fund setup, financial inquiries, and closeout activities.
  • Disseminate University of Waterloo and Faculty policy and procedure updates to researchers and staff involved in research finance.
  • Provide advice and training related to individual grants and contracts in cooperation with the Faculty Financial Analyst.
  • Maintain accurate financial records and retain appropriate documentation in accordance with University policy.
  • Prepare regular and ad hoc financial reports for the Administrative Manager, Administrative Officer, and Director.
  • Support budget planning by providing historical spending data and trend analysis.
  • Develop and manage an administrative calendar for research activities, including application deadlines, financial payment processes, and annual reporting.
  • Review and document financial processes to improve service delivery and ensure consistent application of policies and procedures.
  • Participate in internal audits or compliance reviews by providing documentation and explanations of financial transactions.
  • Interpret financial policy and help faculty and staff resolve complex cases.
  • Assist the Administrative Manager with casual and contract hiring processes, including documentation for research assistants, work-study students, and visitors.
  • Support special financial projects and Faculty-wide initiatives as required.
  • Provide backup support to other administrative staff during peak periods or absences.
  • Attend relevant finance and administrative training, workshops, and campus user group meetings.
  • Support School budgeting activities as required.
Desired Qualifications
  • Experience with Workday, Unit4, Concur, and Power BI is an asset.
  • Service-oriented responsiveness is desirable.

Students work through the full investment process, presenting ideas and executing approved investments as part of a live early-stage portfolio. The program differs from typical courses by offering an end-to-end, real-money learning experience with ongoing mentorship and industry interaction.
