Requirements
  • 2+ years of experience supporting a senior executive, preferred
  • Excellent organizational skills, highly detail oriented and ability to handle multiple projects under deadline pressure.
  • Demonstrated ability to prioritize, meet deadlines and change course of action quickly
  • Strong communication skills, both written and verbal. Strong people skills, including the ability to work effectively as part of a team.
  • Previous experience and understanding of Microsoft programs such as Excel, Word and Outlook preferred. Airtable, Shotgrid and Filemaker knowledge also strongly preferred.
  • Positive attitude and the ability to be proactive, resourceful and flexible
  • Demonstrated ability to work independently and proactively to solve problems, also troubleshooting
  • High level of discretion while working with confidential information.
Responsibilities
  • Answer phones, screen and roll calls and update contacts for VFX Executive(s)
  • Manage calendar for VFX Executive(s) including scheduling and confirming meetings both internally and externally of Disney
  • Prepare and submit expense reports for VFX Executive(s)
  • Liaise with other executives and assistants both internally and externally of Disney
  • Assist in the preparation of meetings including printing agendas, setting up zooms, arranging conference rooms, etc.
  • Represent the department in a professional manner
  • Coordinate domestic and international travel and logistics, including payment, processing and confirmation of all transfers for VFX Executive(s) and VFX crew on assigned shows
  • Manage and maintain the VFX Database of Supervisors, Producers, Vendors, and other key VFX crew worldwide (source: current resumes, contact information, availability, vendor reels, e-mail correspondences, daily trade papers, and internet research).
  • Coordinate between studio, filmmakers, and vendors to arrange and facilitate VFX reviews for assigned shows.
  • Run select VFX reviews and turnovers for Studio Executives.
  • Manage VFX shared folders for assigned films, updates film files with appropriate reports, lists and financial documents such as timecards, invoices, Pos and Change Orders.
  • Update Blue report VFX info including shot count, vendors and crew for select VFX shows in development, pre-production, production, post-production and stereo across 20th Century Studios.
  • Facilitate the approvals and track VFX invoices, Purchase Orders and Change Orders for assigned shows.
  • Support department projects as needed.
