Requirements
  • Working knowledge of the agency’s computer systems and software, customer and personal service processes, human behavior and performance, individual differences, learning and motivation, and mathematics.
  • Some knowledge of regulations, policies, and procedures for the assigned program area; counseling terminology and practices may also be required.
  • Skill in operating automated office equipment, including calculators, fax machines, and copiers.
  • Skill in using computer-driven word-processing, spreadsheet, graphics, and file-maintenance programs.
  • Ability to read and interpret state and local policies and procedure manuals; prepare reports and correspondence; communicate verbally and in writing; perform calculations; solve practical problems; interpret written, oral, diagrammatic, and schedule-based instructions; resolve conflicts; apply knowledge of human behavior and social functioning; recognize client needs; exercise judgment, tact, and resourcefulness; instruct clients in direct-care techniques; maintain confidential records; organize and prioritize tasks; use correct spelling and basic grammar; and interview clients to elicit needed information.
  • High school diploma supplemented with post-secondary coursework in social work, human services, gerontology, social or behavioral sciences, business, or a related field, plus relevant public administrative support experience, or an equivalent combination of training and experience.
Responsibilities
  • Operate computer systems to conduct searches for initial applications, renewals, and recertifications and to update information.
  • Provide information and assist clients with completing applications.
  • Answer incoming calls and respond to inquiries.
  • Provide case-management support to Human Services Specialist staff.
  • Prepare and mail correspondence.
  • Provide information and referrals and verify information for community resources.
  • Document client contacts, verification letters, and other situations in written or oral form.
  • Set up, type, label, and complete case files and forms.
  • Assist with periodic, special, and other reports.
  • Follow up on referrals to ancillary agencies and provide services for identified client needs.
  • Document client contact in appropriate records and update computer systems.
  • Provide administrative support to Social Workers, including transcription, typing, file retrieval, supply ordering, and form creation.
  • Research and purge case records and maintain schedules and alerts.
  • Provide training to staff on entering data into social-work systems.
  • Conduct adoption searches using court records, libraries, agency files, the Internet, city directories, and direct contact.
  • Transport family members and program participants to appointments.
  • Mentor and support biological parents of foster children, children, and foster families.
  • Testify in court when subpoenaed and act as a liaison between Social Workers and school representatives.
  • Direct group-home residents and train them in chores, personal hygiene, and interpersonal skills.
  • Provide emotional, parental, and physical-needs support to group-home residents.
  • Ensure individual behavior-modification plans are implemented and assist the House Parent with treatment-plan management.
  • Assist with meal preparation, daily housekeeping, transportation, and required treatment-plan communications.
  • Participate in child-care activities, enforce safety rules, and intervene when children may injure themselves or others.
  • Prepare and maintain program materials, follow licensing and school safety procedures, report accidents, attend staff meetings, and provide child care as directed.
