Requirements
  • Advanced knowledge of accounting practices normally acquired through postsecondary studies in a related discipline, or an acceptable equivalent combination of education and work experience.
  • Minimum 3 years of demonstrated experience in a similar role.
  • Spoken and written proficiency in both official languages, French and English.
  • Strong organizational skills and ability to set priorities.
  • Ability to take responsibility and to work independently.
  • Excellent customer service and good interpersonal skills.
  • Ability to work well as a team member.
  • Knowledge of Canada Revenue Agency rules and regulations on charities.
  • Office experience using word processing, spreadsheets, and databases.
  • Very close attention to detail to ensure highly accurate data entry and analysis.
  • Ability to understand and follow directions and explain complex policies and procedures.
  • Good judgment and ability to use sensitive and confidential information appropriately.
Responsibilities
  • Process gifts in support of the fundraising team's philanthropic efforts, scrutinizing gifts and solicitation or pledge forms for valid and accurate information and entering data on complex gifts.
  • Maintain database integrity by checking gift payments and biographical information, monitoring data accuracy, performing validation queries, and implementing corrective measures when inconsistencies are detected.
  • Prepare and process batches for fundraising events, crowdfunding, third-party solicitations, payroll deductions, pension plan deductions, bank direct debits, and major credit cards.
  • Deposit cheques, cash, and credit card payments according to University procedures and internal controls, and produce and reconcile deposit reports using the financial system ledger for submission to Financial Services.
  • Ensure tax receipts are issued promptly based on gift-receipt eligibility under Canada Revenue Agency rules.
  • Plan and coordinate the operational activities of the Gift Processing Office, including financial transactions and internal controls, and provide support and advice to managers.
  • Coordinate the donor acknowledgement process.
  • Check donor-accessible funds to identify irregular spending patterns.
Desired Qualifications
  • Knowledge of philanthropic databases, specifically Raiser's Edge.
