Requirements
  • A minimum qualification of a high school diploma is required.
  • A minimum of 3 years of relevant experience in an administrative support position within healthcare or similar settings.
  • Applicants must complete a comprehensive background investigation before joining the organization.
Responsibilities
  • Provide administrative and billing support to the assigned regional office.
  • Ensure all regional administrative support functions are completed according to established timelines and quality standards.
  • Provide customer service to clients, visitors, applicants, and employees by communicating information, responding to inquiries, explaining information, fielding complaints, greeting visitors, answering regional phone lines, and distributing incoming correspondence.
  • Conduct background checks for new hires and annual registry background checks for current employees, upload results to electronic personnel files, and ensure current driver’s license and insurance verification records are maintained.
  • Coordinate and onboard new hires, ensure required documents are uploaded and correctly titled, and maintain compliant electronic personnel files.
  • Manage office-level billing processes, including verifying insurance and resolving failed activities and claims according to state billing directives.
  • Provide administrative support to Direct Service Providers, including preparing intake packets, providing required forms, and completing client demographic information.
  • Prepare invoices, reports, memos, letters, and other documents using word processing, spreadsheet, database, or presentation software.
  • Assist assigned Program Directors with payroll processing.
  • Order supplies, maintain records management systems, and keep the office presentable and organized.
  • Assist in training new hires on documentation and required paperwork processes.
  • Coordinate and assist with meetings and events, including preparing and distributing agendas and information packets.
  • Manage and monitor clients’ Electronic Health Records in the Carelogic system, enter data, produce reports, correct failed activities and claims, enter demographic information, and verify rates.
  • Assist with client chart audits and provide reports of findings, including auditing discharged clients’ charts.
  • Assist with the monthly medication administration record process.
  • Conduct client, agency, and Aftercare surveys and ongoing client quality assurance checks.
  • Train and supervise other administrative clerical staff.
Desired Qualifications
  • Further education in business or administrative fields is strongly preferred.
  • An Associate’s degree in business or administrative support is preferred.
