Requirements
  • Two years of study leading to a diploma or equivalent in Business Administration, Office Administration, Communications, Public Relations, Social Work, or an equivalent field.
  • At least three years of relevant experience.
  • Experience using computerized systems and business or office software.
  • Experience working in a team.
  • Experience in customer service.
  • Experience processing confidential records and knowledge of information confidentiality standards and rules.

Responsibilities
  • Analyze admission files and assess the validity of documents submitted for admission.
  • Guide and advise current and prospective applicants, their parents, and guidance counselors regarding admission requirements, application status, program availability, and admission directives and procedures, while completing the follow-ups needed to reach an admission offer.
  • Explain admission decision results when requested and advise individuals on next steps as needed.
  • Recommend alternative programs or upgrading services when applicable.
  • Participate in the admissions and registrar office call center and follow up on current and prospective applications through various platforms.
  • Follow up with responsible parties regarding admission requirements, selection processes, and admission-related assessments.
  • Make recommendations regarding application of program admission requirements in accordance with established criteria, policies, and procedures.
  • Guide clients through their admission applications and explain how to access information in college applications.
  • Recommend, organize, and participate in applicant information and support activities, such as video tutorials and webinars, in collaboration with relevant teams.
  • Analyze application, incomplete-file, and conversion-rate data to identify gaps and support required admission-process interventions.
  • Monitor offers for programs with enrollment limits, including waitlists, while ensuring maximum program capacity is respected.
  • Serve as a college-wide resource and subject-matter specialist for admissions and credit transfer.
  • Analyze and resolve student transferability situations in collaboration with relevant departments and in accordance with established policies, procedures, and criteria.
  • Perform required checks and updates in admission systems to ensure data accuracy and proper process operation.
  • Issue offer letters and admission-related emails and supporting documents for applications and inquiries.
  • Process requests in the system in a timely manner.
  • Maintain a list of international applicants eligible for a program for submission to OCAS to obtain provincial attestation letters.
  • Verify that files meet applicable international admission requirements and contain documents needed to continue study-related procedures.
  • Monitor program capacity and inform the supervisor when limits are reached.
  • Maintain a detailed list of eligible applicants for programs with enrollment limits and provide it to program leads who determine which applicants receive offers.
  • Participate in debriefing meetings after each admission cycle.
  • Contribute to updating admission-related systems.
  • Update admission information on the college website, intranet, and portal.
  • Analyze and resolve common issues related to admission-file processing, student transferability, and systems; complete follow-ups with relevant departments and participate in process-improvement working groups.
  • Analyze applicant files to determine eligibility to submit transferability requests, including RDA, RDAi, TC, and advanced placements, and complete required follow-ups.
  • Perform and coordinate admission and student mobility request-processing activities in accordance with established procedures.
  • Assign transferability requests to subject-matter experts according to their areas of expertise, complete administrative follow-ups, and maintain the expert database.
  • Coordinate required information with relevant departments for administrative follow-ups involving subject-matter experts and direct them to appropriate resources when needed.
  • Record credit transfers in student records and notify specialists and students of decisions.
  • Conduct research in the OCTD database to inform relevant departments of prior approvals.
  • Maintain tools related to processing transferability requests.
  • Complete status checks requested by Immigration, Refugees and Citizenship Canada within established timelines.
  • Occasionally prepare presentations and present information at meetings, public meetings, or information sessions.
  • Follow up with the Office of the Vice-President Academic to validate program lists for each admission cycle.
  • Maintain the integrity of admission-module components in the SIB, make necessary updates, and ensure the automated process is functional.
