  • Associate’s Degree from an accredited institution in a related field, or an equivalent combination of experience and training.
  • At least one year of experience in an administrative support role involving customer service and general office operations.
  • Experience with Microsoft Office, especially Outlook, Word, and Excel.
  • Ability to communicate effectively in writing using the English language.
  • Ability to work cooperatively with colleagues and supervisory staff at all levels.
  • Ability to transport oneself to other campus offices, conference rooms, and occasionally off-campus sites for meetings, conferences, workshops, and seminars.
  • Final applicants must pass a background check and drug screening.
Responsibilities
  • Support the daily operations of the Office of the Associate and Assistant Deans by performing a broad range of administrative duties, responding to inquiries, triaging communications, and providing information to faculty, staff, students, and visitors.
  • Coordinate calendars and scheduling for the Associate and Assistant Deans, including meetings, appointments, and events.
  • Coordinate, organize, and support meetings by preparing agendas, compiling materials, recording minutes, and following up on action items.
  • Manage correspondence and documentation, including reviewing materials for completeness and coordinating routing for approval and signature.
  • Arrange travel and lodging accommodations for CVM personnel and visitors in accordance with university policies.
  • Provide administrative support for academic, curricular, and clinical initiatives, including assisting with teaching activities, using the Learning Management System, coordinating with the Office of Testing, and supporting clinical affiliate agreements and relationships.
  • Provide basic technology support by troubleshooting routine software and hardware issues, assisting with virtual meeting platforms, and supporting digital tools.
  • Contribute to the development and improvement of administrative systems, workflows, and processes.
  • Receive and prioritize work assignments in alignment with team goals and institutional priorities.
  • Support special projects, committees, and events within the College and University.
  • Perform other duties as assigned.
Desired Qualifications
  • Experience with virtual meeting platforms such as Zoom, Teams, WebEx, GoTo, or similar.
  • Previous experience creating or modifying processes.
  • Experience and ability to interact professionally and collaboratively with leadership, faculty, and administrators.
