Barbaricum seeks an Senior Division Administrator to contribute to the DoD Chief Digital and Artificial Intelligence Office’s (CDAO) mission. CDAO is responsible for the acceleration of the DoD’s adoption of data, analytics, and Artificial Intelligence to generate decision advantage from the boardroom to the battlefield. CDAO is tasked with building a strong foundation for data, analytica, and AI-enabled capabilities to be developed and fielded at scale. This position will play a key role in the establishment of strategy, best practices, architectures, and tools to ensure that the DoD has reliable, ethical, and trusted AI-enabled systems. Specifically, this role will directly contribute to the CDAO Assessment & Assurance Division’s Joint AI Test & Evaluation Infrastructure Capability (JATIC) program. Barbaricum has been supporting the CDAO for more than three years, including current scrum master and program operations support to the JATIC program.
The Chief Digital and AI Office (CDAO) Assessment & Assurance Division aims to establish the strategy, best practices, architectures, and tools to ensure that the DoD has reliable, ethical, and trusted AI-enabled systems. As part of its remit, the division manages the JATIC program, which is developing an interoperable set of state-of-the-art software capabilities for AI Test & Evaluation. It aims to provide a comprehensive suite of integrated testing tools which can be deployed widely across the enterprise to address key T&E gaps. In particular, JATIC capabilities will support the assessment of AI system performance, cybersecurity, adversarial resilience, and explainability - enabling the end-user to execute their mission more effectively. It is a key component of the digital testing infrastructure that the CDAO will provide to support the development and deployment of data, analytics, and AI across the Department.
Responsibilities
- Demonstrate initiative and be a self-starter, able to work in a highly collaborative, virtual, and versatile environment handling an array of duties and responsibilities with particular focus on coordination, event organization, team facilitation, time management, and multi-tasking abilities.
- Execute day-to-day requirements, such as management of schedules, calendars, databases, documents, distribution of information, data input, reporting, and document control.
- Maintain organizations charts, recall rosters, and email distribution lists; Schedule appointments and make arrangements for meetings, to include agenda and calendar reminders.
- Create and manage Division travel using Defense Travel System (DTS) (ex. Create travel itineraries, submit travel vouchers) for employees.
- Attend meetings; record actions and prepare minutes for distribution.
- Create various weekly, biweekly, and monthly reports for the division.
- Support the planning and execution of periodic events and information sessions for government workforce, including identifying the topics, handling all event logistics, preparing presentation materials, and marketing the event.
- Create and maintain Division administrative processes and Standard Operating Procedures (SOPs) such as Onboarding Checklists, Time card approval, Division norms, etc.
- Suggest more efficient ways to run the Division and troubleshoot malfunctions.
- Conserve Division Leadership’s time by reading, researching, collecting and analyzing information as needed, in advance.
- Understand Division priorities to effectively manage Division leadership’s time in meetings and prioritizing events that must happen vs optional engagements.
- Assist in preparing and managing presentations and reports.
Qualifications
- Active Secret Clearance (TS/SCI preferred)
- Prior DoD experience preferred
- Strong communication skills, with the ability to proactively engage members both inside and outside of your team
- Experience working with project management applications, like Jira or Confluence, is preferred
- Experience with Gitlab is strongly preferred
- Experience implementing documentation and knowledge management systems for agile software development projects and/or Division level corporate groups
- Great technical writing skills
- Knowledge of the Agile development process
- Experience working on large software development programs.
- Experience working within agile frameworks, such as Scaled Agile Framework
- Experience working within high technology areas, such as computer science, data science, autonomy, and artificial intelligence
- Experience working with multi-organizational programs is preferred
- Experience with Advana and working with DoD CDAO a plus
