Requirements
  • High School Diploma with up to 1 year of relevant experience in office administration or service coordination.

Responsibilities
  • Process service requests received by telephone, email, and personal visits, and maintain a database of requests for reporting and analysis.
  • Ensure contractual services are issued against corresponding purchase orders and on-demand services are issued to work orders.
  • Prepare and publish tenders as required and ensure work orders are scheduled and completed on time.
  • Complete required forms for departments, including requests for quotations, building advisories, Intelex authority-having-jurisdiction forms, and diesel fuel call-ups.
  • Develop scopes of work and request quotes from service providers when required.
  • Upload applicable documentation to work orders for reporting and auditing.
  • Coordinate with contractors and building technicians to ensure proper work-order and procurement processes.
  • Review monthly preventative-maintenance work orders and ensure they are dispatched, scheduled, and completed before month end.
  • Administer and monitor service contracts, including cleaning contracts, and review vendor and contractor performance.
  • Prepare monthly expense summaries with supporting details and resolve general-ledger expense errors or inconsistencies.
  • Schedule, coordinate, and complete cleaning inspections; report and follow up on deficiencies with the cleaning contractor.
  • Ensure employees and contractors follow health and safety policies and procedures and that work permits are in place.
  • Report accidents immediately according to company procedures and prepare incident reports.
  • Ensure compliance with company, client, and legislated health, safety, and environmental and safety-code requirements, including appropriate use of personal protective equipment.
  • Promote a positive health and safety culture, attend safety meetings, and complete corporate safety training.
  • Send, receive, review, and track health and safety documentation.
  • Manage the timing and space of building activities to prevent conflicting safety hazards.
  • Verify client security requirements and ensure service providers comply before entering client space.
  • Prepare and communicate purchase orders to managers and suppliers and receive purchase orders for payment approval.
  • Establish and maintain working relationships with clients and service providers.
  • Work with client and tenant organizations to maintain communication from the building-management-process stage through operational and project activities, address concerns, and ensure an integrated approach.
  • Review demand work orders to determine whether they are billable or non-billable.
  • Review and investigate problem invoices, report findings to management, and follow up with contractors to ensure invoice accuracy and proper billing procedures.
  • Prepare accurate information and reports for Finance and Management as requested.
  • Review daily, weekly, and monthly financial reports for reporting accuracy.

Veritas Capital to acquire facilities manager BGIS. July 17, 2026 | John McNulty Veritas Capital has agreed to acquire BGIS from CCMP Capital Advisors and Alberta Investment Management Corporation (AIMCo). BGIS runs and maintains buildings and facilities - offices, data centers, and government, healthcare, and industrial sites - for large public and private organizations, handling the engineering, operations, and technology that keep those properties running, a service known in the industry as technical integrated facilities management (IFM). The company oversees more than 65,000 facilities totaling over 620 million square feet globally with a team of more than 12,000. Gord Hicks continues as chief executive officer and will lead the business with his management team. CCMP and AIMCo had backed BGIS since 2019. Veritas Capital, a technology investor focused on companies operating at the intersection of technology and government, manages over $54 billion in assets.
