  • A high school diploma or equivalent is required.
  • One or more years of experience in healthcare operations, customer service, or a similar role or setting is preferred.
  • Ability to use Salesforce or Epic, fax, email, GSuite or Office, and handle inbound and outbound calls with appropriate grammar, spelling, and punctuation.
  • Strong written and verbal communication skills are required.
  • Ability to handle sensitive and confidential information in accordance with HIPAA.
  • Ability to lift 40 pounds from the floor to waist level.
  • Ability to kneel, stoop, climb stairs, and reach with hands and arms.
  • Reliable transportation to work is required.
  • Ability to pass an extensive background check.
  • Strict adherence to HIPAA, Medicare Fraud, Waste, and Abuse, and privacy regulations is required.
  • Knowledge of healthcare regulations and insurance processes, including DME care, CMS, Medicare, and prior authorization processes.
  • Strong organizational, time-management, attention-to-detail, multitasking, prioritization, problem-solving, and interpersonal abilities.
Responsibilities
  • Call clinics and patients to discuss cases and documentation.
  • Process patient cases within departmental monthly metrics and complete assigned case tasks.
  • Research coverage, verify benefits, handle pre-authorizations, enter notes, review order criteria and SWO, and identify requirement failures.
  • Match insurance, review coverage, and discuss coverage with patients.
  • Review notes and update the CRM against case requirements.
  • Receive and process new patient referrals while gathering demographic, medical, and insurance information.
  • Verify patient insurance coverage and benefits, update cases and the internal insurance database, and manage utilization review activities.
  • Request and obtain prior authorizations from insurance providers to ensure equipment coverage.
  • Coordinate with sales, patients, caregivers, healthcare professionals, BPO partners, and internal teams to support product coverage, shipment, and use.
  • Provide administrative support, including documentation, communication, and clerical tasks.
  • Answer service-line calls, provide patient support, answer questions, document interactions and resolutions in the CRM, and escalate urgent requests to the correct department or leader.
  • Maintain clear and effective communication with patients, families, and healthcare team members, including responding to difficult or emotional situations.
  • Maintain accurate and timely records of case activities, patient information, client interactions, service plans, and case-management activities.
  • Create and manage electronic consent forms, upload signed forms to patient charts, complete forms, and produce reports on client progress and service delivery.
  • Prepare cases and escalations for review and regulatory agencies, assist with Medicare compliance monitoring, and follow CMS and OFCCP guidelines related to the quality management system.
  • Participate in departmental training and a one-hour monthly Scribe or Google Meet session during regular work hours.
