Requirements
  • Degree level education preferred, but not a pre-requisite
  • At least 5 years of team assistant / creative support experience within the entertainment industry with a general understanding of the film, television and/or literary landscapes preferred
  • Ability to respond after hours for important, timely or urgent matters
  • Team-player who operates effectively in a fast paced collaborative setting
  • Ability to be discrete and maintain confidential information
  • Understanding of how to prioritize workload and respond accordingly
  • Strong written and verbal communication skills and the ability to multitask
  • Passion for storytelling and content is a must
  • Previous experience managing calendars across multiple time zones
  • Demonstrates passion, interest and knowledge of the international film industry
Responsibilities
  • Manage complex calendars for multiple executives including scheduling and confirming meetings both internally and externally across multiple time zones (prioritising the Director of Film)
  • Coordinate detailed travel arrangements, both domestically and internationally
  • Handle varying administrative duties around processing travel and expense reports
  • Clear communication internally with cross functional teams and externally with production partners, talent, writers, etc
  • Manage the process and flow of content submission - log, track, and evaluate all incoming material (including pitches, scripts, books, etc.)
  • Gather, organise and enter various production-related data and information across multiple tools and platforms (e.g., Prequel, Origin Story, Prodicle, HOD & Cast Approvals Tracker, etc)
  • Work collaboratively with administrators and coordinators within the larger Content team and across various functions (e.g., Physical Production, Post Production, Marketing, Finance, & other internal partners etc.)
  • Coordinate logistics & technical set up for content partner meetings
  • Attend and take notes in meetings and circulate pertinent information to the broader team
  • Create agendas, presentations, and documents using PowerPoint and Google Workspace
  • Read incoming projects in tandem with executives on the team and provide feedback and coverage/notes
  • Actively cover the creative landscape (e.g., director, writer, actor & creative producer) to understand writers and filmmakers of interests and their availability
  • Support Team Leaders with ad hoc projects including team projects & events
