Requirements
  • A high school diploma and two years of relevant experience are required, or an equivalent combination of education and experience.
  • Demonstrated customer relations skills are required.
Responsibilities
  • Perform complex secretarial and administrative duties in a fast-paced environment supporting clinical, educational, and academic programs.
  • Prepare clinics, manage providers' time and calendars, optimize provider-patient schedules, coordinate patient care, and provide information and data support.
  • Serve as the primary contact for providers, manage calendars, prioritize appointments and meetings, and continuously examine clinical schedules to optimize provider time and effort.
  • Find missing orders and send them for review and approval.
  • Gather necessary information for insurance referrals and prior authorizations.
  • Apply provider preferences and protocols to select, execute, or delegate follow-up actions based on patient notes.
  • Compose, edit, and obtain signatures for non-routine correspondence related to appeals on denied claims.
  • Manage provider documentation and information, compose and type factual correspondence, arrange travel and conference accommodations, facilitate invited lectures and speaking engagements, and research hospital medical records for physicians, insurance companies, and attorneys.
  • Determine the order of daily surgeries and ambulatory procedures based on patient medical conditions and severity.
  • Negotiate surgical and procedure schedules with the Operating Room scheduling office and Ambulatory Surgical Center staff.
  • Authorize overbooking, schedule rearrangements, and rescheduling of surgical and Operating Room schedules based on case complexity, medical urgency, and cancellations.
  • Order required surgical and procedure equipment, devices, and medication, then confirm that orders are fulfilled and ready.
  • Use contingency strategies to ensure details, materials, and locations are ready for scheduled surgeries and procedures.
  • Ensure patient education and follow-up details reflect pre-operative readiness and post-operative rehabilitation expectations and activities.
  • Ensure completeness of relevant pre-operative testing and evaluation information for anesthesiologist and Operating Room review.
  • Assemble details from multiple electronic medical record tabs for disability paperwork.
  • Assess patient calls, prioritize medical concerns, obtain provider responses, and follow up with patients.
  • Serve as the main point of contact for patients before and after operations.
  • Perform other duties as assigned.
Desired Qualifications
  • Medical terminology experience.
  • Experience with surgical and appointment scheduling software, such as Flowcast.
  • Experience with electronic medical records.
