Requirements
  • A bachelor's degree in event management, business administration, management, communications, or a related field, or a relevant combination of education and experience.
  • At least two years of experience in full-scope event management or planning work.
  • Strong communication, organization, and client-facing skills.
  • Strong project management skills, including the ability to manage multiple tasks and deadlines.
  • Demonstrated problem-solving ability and resourcefulness.
  • Familiarity with professional associations or nonprofit organizations.
  • Proficiency with company applications including Gmail, ClickUp, Slack, Google Calendar, Zoom, GoToMeeting, Cvent, Dropbox, Doodle, MailChimp, LastPass, Skype, SurveyMonkey, and ShareX.
  • Ability to obtain and maintain a passport for required domestic and international travel.
  • Ability to sit for prolonged periods, work at a computer, lift up to 15 pounds, and travel on long-haul flights.
Responsibilities
  • Provide support for conferences and events from conception through completion, managing multiple conferences throughout the year.
  • Meet weekly with the Director of Conference Management Operations and Pod Leader to provide status updates, discuss time-sensitive items, perform quality-control checks, and identify process improvements.
  • Attend and participate in Unit, Pod, Unit Workshop, and all-company meetings.
  • Maintain accurate time records according to company policy.
  • Navigate the company’s internal file structure.
  • Maintain knowledge of the basic structure of the Institute of Electrical and Electronics Engineers and keep policies and contact lists current.
  • Manage ClickUp boards for each conference, keeping tasks dated and up to date with complete information and checklists.
  • Develop relationships with conference leadership, including General Chairs, Technical Program Chairs, and Organizing Committees.
  • Liaise with clients to determine precise conference requirements.
  • Configure and manage the online paper-submission process.
  • Compile and produce conference proceedings content.
  • Produce detailed requests for proposals covering timelines, venues, suppliers, legal obligations, staffing, and budgets.
  • Communicate and maintain timelines and priorities for each project.
  • Develop and manage event budgets.
  • Manage project elements within time limits and budget.
  • Deliver customer service and quality outcomes.
  • Travel onsite to perform advance site inspections as necessary.
  • Research markets to identify opportunities for conference attendance growth and increased paper submissions.
  • Coordinate with venue management, caterers, exhibit designers, contractors, and other vendors.
  • Plan room layouts for conference sessions, workshops, demonstrations, and social events.
  • Plan menus and order food and beverage for conference functions.
  • Coordinate volunteer staffing requirements and volunteer briefings.
  • Sell sponsorship, stand, and exhibition space to potential exhibitors and partners.
  • Configure online registration sites and manage conference registration processing.
  • Prepare delegate packs, name badges, and collateral.
  • Work with marketing and public relations colleagues to promote conferences.
  • Work with clients and internal design staff to create event branding and produce tickets, posters, catalogues, sales brochures, and social media coverage.
  • Coordinate suppliers, handle client queries, and troubleshoot on the day of the conference.
  • Oversee onsite setup of registration areas, exhibit areas, and meeting rooms.
  • Handle issues and troubleshoot emerging problems throughout the conference planning cycle.
  • Conduct post-conference evaluations, including data entry, analysis, and reports for conference sponsors.
  • Organize and express information clearly in concise written and verbal form while working with diverse contacts worldwide.
  • Schedule and facilitate conference calls with conference committees, take detailed minutes, and facilitate action-item completion.
  • Manage conference websites and keep content current and user-friendly.
  • Develop and maintain conference social media platforms by drafting and posting content regularly.
  • Maintain knowledge of the Conference Operating Manual for each assigned conference.
  • Follow Conference Catalysts operating guidelines, mission, vision, core values, company handbook, and review procedures.
