Requirements

  • Proficiency in using office software, such as Microsoft Word, Excel, and database systems.
  • Excellent customer service and interpersonal skills, with the ability to handle sensitive information confidentially.
  • Six years of related work experience, four of them in the same job family at the next lower level, and high school level education; or four years of related work experience and an Associate's degree, or an equivalent combination of education and related experience.
Responsibilities
  • Oversee and coordinate administrative, program, and office activities of the Director of Undergraduate Studies.
  • Serve as the primary support for the Director of Undergraduate Studies and principal contact for managing degree progress and activities related to registration.
  • Monitor student records to ensure compliance with academic regulations and program requirements for graduation using Degree Audit and/or Faculty Student Advising, and notify the Director of Undergraduate Studies of identified problems for faculty action.
  • Coordinate teaching schedules for academic classes with the Director of Undergraduate Studies.
  • Schedule classroom assignments.
  • Assist the Director of Undergraduate Studies in analyzing need and determining teaching fellow assignments, including entering information in the Teaching Fellow System.
  • Schedule course offerings and discussion sections in CourseLeaf.
  • Assist with student academic activities and events.
  • Respond to general inquiries and requests for information regarding the academic program.
  • Develop expertise in departmental registrar processes and procedures.
  • Serve as a principal source of information on administrative, academic, and procedural matters to students, prospective students, faculty, and staff.
  • Process applications for admissions and ensure compliance with administrative policies and procedures.
  • Assist students with the completion of forms and review and verify forms for completeness and accuracy.
  • Establish and maintain student files, ensuring all personal, financial, and academic records are kept current and accurate.
  • Monitor student records to ensure compliance with academic regulations and program requirements for graduation; maintain logs and records; compile statistical data and information; and summarize data in reports or analyses.
  • Update, edit, and write program publications, and coordinate their production and distribution.
  • Coordinate teaching schedules for academic classes, schedule classroom assignments, and coordinate Senior Essay and Dissertation activities.
  • Monitor financial records and activity.
  • Oversee and instruct support staff.
  • Perform clerical functions incidental to office activities.
Desired Qualifications
  • Prior experience in academic or registrar settings, with knowledge of university policies and procedures.
  • Familiarity with student information systems, such as Banner, Courseleaf, and Canvas.
