Requirements
  • A high school diploma or equivalent is required.
  • Two years of experience in a secretarial role is required.
  • Experience in a customer service field is required.
  • Excellent working knowledge and skills in Microsoft Office programs, including Microsoft Word, Excel, and PowerPoint, are required.
  • The ability to use spreadsheets to display data and manipulate data for presentation to various departments is required.
  • Excellent customer service behavior is required.
  • Excellent verbal and written communication skills are required.
  • Fire Life Safety Training for Los Angeles City is required; if the applicant does not have a card upon hire, it must be obtained within 30 days and renewed before expiration.
Responsibilities
  • Coordinate departmental or unit clerical duties and activities.
  • Support the coordination and maintenance of files and data activities efficiently.
  • Communicate information to co-workers in a timely manner and receive calls professionally.
  • Take detailed messages, determine call urgency, and forward calls to the appropriate staff member.
  • Type and proof correspondence, reports, charts, meeting minutes, hospital policies, and other documents.
  • Create spreadsheets and tables using formulas and manipulate data to retrieve desired information.
  • Maintain computer records and files.
  • Design, develop, and produce PowerPoint presentations for special events or committee meetings.
  • Use business letter formats and ensure grammatical accuracy.
  • Greet and assist patients and visitors by providing information, contacting appropriate staff, or taking messages.
  • Enter data accurately and in a timely manner.
  • Prepare reports for committee meetings and other hospital departments or services.
  • Maintain computer data accurately and in a timely manner while ensuring information confidentiality.
  • Coordinate meeting dates and times with all participants.
  • Arrange conference rooms or other meeting locations, audiovisual equipment, and catering services as needed.
  • Attend meetings and type meeting minutes as requested.
  • Complete copying, collating, and coordination of materials in an orderly manner.
  • Maintain the general filing system.
  • Pick up and deliver mail to and for nursing managers and directors.
  • Provide a filing system that allows easy retrieval of information.
  • Perform other duties as assigned.
Desired Qualifications
  • Experience with data entry and statistical analysis.
  • Experience with the Kronos timekeeping system.
  • A bachelor's degree in a related field.
  • Knowledge of medical terminology.
