Requirements
  • More than two years of post-high-school education.
  • One to two full years of employment in a related position with this company or another organization.
  • Working knowledge of banquet and catering food and beverage services, policies, or operations.
  • Knowledge of computer equipment.
  • Ability to compile facts and figures in accordance with established procedures.
  • Supervisory skills.

Responsibilities
  • Plan, organize, and manage all event details for group and convention bookings, including guest rooms, menus, and setups.
  • Participate in negotiating meetings, functions, rooms, rates, and related requirements.
  • Maximize room and meeting space utilization, revenue, and profit while delivering a quality product.
  • Coordinate all aspects of event planning from group-contract signing forward, including VIP needs, amenities, group resumes, and rooming lists.
  • Manage and plan meetings, conventions, and related activities.
  • Attend banquet event order and staff meetings, and act as a team leader for hotel department staff participating in event delivery.
  • Achieve at least 90% of productivity goals and 100% of activity goals established by management.
  • Coordinate group business developed by the sales manager and follow up on signed or contracted business within five working days.
  • Determine and coordinate all event planning needs.
  • Maintain accurate, organized, current, and well-documented files for client and employer service.
  • Develop customer profiles and maintain an effective trace system with trace dates and references.
  • Develop customer relationships through appropriate client communication and professional, courteous, and ethical interactions.
  • Follow up efficiently on all client needs and inquiries.
  • Focus on revenue-generating activity, retain accounts and clients, maximize account-yield opportunities, and improve sales effectiveness.
  • Detail and upsell programs with clients, including space requirements, audio-visual needs, times, equipment, menus, themes, and decorations.
  • Prepare resumes and paperwork to ensure quality service.
  • Manage function details and related activities so program requirements are satisfied.
  • Anticipate and handle customer complaints and problems to ensure quality product delivery, customer satisfaction, and repeat business.
  • Oversee hotel-group billing details, including deposits, direct-bill applications, credit-card authorizations, and coordination with accounting.
  • Participate in developing new sales tools and systems.
  • Participate in analyzing competitors' products.
  • Analyze, understand, and satisfy customer needs.
  • Monitor and control individual client event budgets and details to maximize revenue and minimize expenses while ensuring quality delivery.
  • Attend and lead pre-conference meetings as needed, coordinate meetings between clients and hotel staff, and review banquet event orders with all parties.
  • Close out groups, including final pickup reports and commissions owed, and process them with accounting.
