Requirements
  • 5+ years of office manager experience
  • Acute attention to accuracy and detail
  • Effective communication skills and strong problem-solving skills

  • Ability to function well in a high-expectation/low-oversight environment; an independent thinker and self-starter
  • Ability to prioritize activities while working on multiple projects and achieve target deadlines
  • Proficiency with Microsoft Outlook, Excel, Word, and PowerPoint
Responsibilities
  • Manage Building/Facilities requests
  • Liaise with building management and facilities to oversee all work needed in the office suite
  • Coordinate building passes for employees
  • Communicate to the office with general announcements
  • Elevator outages, conference room maintenance, fire drills, etc
  • Oversee inventory for production materials, office supplies, and kitchen refreshments
  • Coordinate all office suite vendors
  • Copiers, foliage, food and beverage, shredding, etc
  • Maintain office space (offices and cubicles) for incoming and existing employees, coordinate with RobinPower system
  • Maintain conference rooms
  • Plan and execute Company Events for the New York Office (Summer and Year-End annual parties)
  • Preparation and coordination of meetings and events such as all-team Town Halls, Leadership team meetings, offsites and other department-wide meetings, such as summer intern/analyst program, etc
  • Coordinate with IT department on all computer and office equipment needs and issues
  • Reception backup
  • Administrative tasks as needed
  • Coordinate mailings, schedule and book conference rooms for meetings, prepare iPads for meetings
  • Other projects as assigned
  • Coordinate office space build-out and associated moves
  • Work closely with project managers assigned to office space build-out(s)
  • Coordinate all tasks associated with an office move with both internal and external stakeholders (i.e., securing moving companies, communicating to team members affected, etc.)
  • Oversee work being performed onsite
