Requirements
  • Demonstrated analytical skills with strong business acumen.
  • Advanced knowledge of Microsoft Excel and intermediate familiarity with Microsoft Word, Microsoft PowerPoint, Microsoft Outlook, or similar software applications.
  • Ability to operate basic office equipment, including scanners, copiers, fax machines, and phones.
  • Exceptional oral communication skills, including the ability to convey complex information and ideas clearly, concisely, and professionally.
  • Ability to develop standard business communications using proper grammar, spelling, and punctuation.
  • Strong attention to detail and ability to perform mathematical calculations and formulas.

  • Two or more years of post-secondary education.
  • A bachelor's degree or equivalent may be substituted for two years of work experience.
  • Two or more years of professional experience in accounting or a related field.
Responsibilities
  • Interpret regulations and analyze documents to ensure compliance with state regulations and agency policies and practices.
  • Review documents and requests from potential vendors to ensure they are qualified to perform services and meet requirements.
  • Interact with the general public by phone, email, and in person regarding the vendorization process.
  • Provide direction and guidance to agency staff on vendorization procedures and practices.
  • Research and provide guidance to departments and staff on the appropriate use of vendor service categories, rates, and general ledger accounts.
  • Contact and correspond with prospective vendors and state agencies.
  • Create, distribute, and process vendor applications.
  • Verify the background and licensure of potential vendors.
  • Analyze rate requests using market-rate comparisons, previous vendor rates and budgets, rate-setting methodology, and projected service costs, and present the analysis to the Supervisor of Vendorization.
  • Review receipts, invoices, cost estimates, and financial information for accuracy.
  • Review, follow up on, and process Purchase Reimbursement requests with the Social Worker, prospective vendor, and management.
  • Serve as a liaison to other Regional Centers to facilitate Courtesy Vendorization requests.
  • Track and monitor the Family Cost Participation Program and Annual Family Program Fee for the Department of Developmental Services.
  • Serve as backup for processing and monitoring Vendor Non-Referral requests.
  • Review, follow up on, and process Self-Determination Program client-specific requests.
  • Maintain internal databases and Excel records on a regular basis.
  • Input and update vendor and rate information in internal databases, including the UFS/SANDIS System VSN Tracker and Excel, according to guidelines.
  • Ensure vendor information is current and accurate, including periodic review of expiring vendor licenses and contracts.
  • Perform electronic filing, filing maintenance, and file purging duties.
  • Gather and compile requested information for internal and state audits.
  • Cross-train and work in numerous departmental functions as needed.
  • Provide analysis and compile information for required reports.
  • Work across the agency and departments to maintain service quality and implement regional-center goals.
  • Participate in special projects and perform additional assigned duties.
  • Maintain client information as confidential in compliance with the federal Health Insurance Portability and Accountability Act and the California Lanterman Act.
