Responsibilities
  • In conjunction with the Clinic Manager, interview, hire, supervise, counsel, appraise, and recommend salary increases for front-office and back-office staff.
  • Assist with scheduling staff assignments and oversee efficient patient flow.
  • Maintain front-office and back-office staff schedules by monitoring timely lunches and overall time management to avoid overtime.
  • Perform front-office duties, including patient check-in, check-out, appointment scheduling, benefit verification, and medical-records preparation.
  • Answer phones and make appointments according to company screening protocol and provider scheduling preferences.
  • Review the doctor’s schedule weekly and recommend necessary changes to the Clinic Manager.
  • Assist with training front-office and back-office staff members.
  • Monitor patient flow for potential delays, notify appropriate staff, and help identify opportunities to expedite processes.
  • Assist with completing all tasks on the End of Day Checklist.
  • Assist with monitoring open tasks for front-office and back-office staff members.
  • Monitor and assist with scanning loose paperwork and ensuring outside documentation is in the electronic health record before the date of service.
  • Monitor, obtain, and document referrals and prior authorizations.
  • Post daily clinic charges and payments.
  • Follow medical-record policies and procedures and ensure all requests are entered in the protected health information log.
  • Follow Outpatient Treatment Center policies.
  • Use a basic understanding of financial history to help patients with billing questions.
  • Greet patients courteously.
  • Encourage a team-oriented environment.
  • Maintain confidentiality regarding human-resources-related issues.
  • Meet regularly with the Clinic Manager to review and discuss daily operational needs.
  • Participate in ongoing training and continuing education.
  • Follow professional, teamwork, and customer-service standards.
  • Perform other duties as reasonably assigned.
