JOB DESCRIPTION

We are seeking a highly organized and proactive Executive Assistant to support the CFO & COO in day-to-day operations. The ideal candidate is a self-starter who excels in managing schedules, handling confidential information, coordinating meetings, and ensuring seamless communication within and outside the organization. This role requires problem-solving skills and attention to detail.

A SNAPSHOT OF YOUR RESPONSIBILITIES:

Administrative Support:

• Schedule and coordinate meetings with C-Suite Executives across various business units as well as external Executives.

• Secure conference rooms, refreshments and disseminate Zoom links.

• Handle confidential correspondence, emails, and phone calls professionally.

• Prepare reports, presentations, and other documents as needed.

• Assist the Accounting and Finance Departments as needed.

Meeting & Travel Coordination:

• Plan and coordinate travel arrangements, including flights, accommodations, and itineraries

Communication & Liaison:

• Act as the point of contact and “gatekeeper” between executives, employees, clients, and external partners.

• Ensure smooth communication within and outside the organization. 

Office Management:

• Oversee office supplies and maintain a professional work environment.

WHAT YOU WILL NEED:

• Bachelor’s degree in Business Administration, Communications, or a related field preferred.

• Prior work experience as an Executive Assistant.

• Exceptional organizational and time management skills.

• Strong written and verbal communication skills.

• Ability to anticipate needs, identify potential issues, and find solutions independently.

• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.

• Ability to handle confidential information with discretion.

• Problem-solving abilities and adaptability in a dynamic environment.

• Experience with travel coordination, event planning, and project management is a plus.

Pursuant to state and local pay disclosure requirements, the pay rate/range for this role, with final offer amount dependent on education, skills, experience, and location is $24.28-33.89 per hour. This role is also eligible for various benefits, including medical/dental/vision, insurance, a 401(k) plan, paid time off, and other benefits in accordance with applicable plan documents. Benefits for Union represented employees will be in accordance with the applicable collective bargaining agreement.
