Requirements
  • A high school degree is required.
  • A minimum of five years of long-term care billing and collection experience is preferred.
  • Additional coursework in accounting or finance is recommended.
  • Working knowledge of accounts payable is required.
  • Familiarity with company policies and procedures related to Revenue Cycle Management, including census, ancillaries, billing, adjustments, deposits, collections, Medicaid Pending, and resident funds, is required.
Responsibilities
  • Manage, train, organize, evaluate, and monitor business office staff, and delegate administrative authority, responsibility, and accountability as necessary.
  • Approve timecards and time-off requests for direct reports in accordance with the center’s payroll cycle.
  • Maintain systems and controls, follow policy and procedure manuals, and meet established daily, weekly, and monthly deadlines.
  • Oversee accurate and timely completion of business office functions involving census, ancillaries, billing, adjustments, collections, write-offs, refunds, and deposits.
  • Manage Resident Trust Fund procedures and ensure compliance with state and federal regulations and company policies while maintaining confidential files.
  • Conduct or direct 72-hour financial meetings with new admissions and responsible parties, explain financial obligations and paperwork, review admission files, and report missing financial information.
  • Monitor compliance with segregation of duties for cash handling and posting.
  • Conduct or ensure discharge meetings that explain remaining financial obligations to residents and responsible parties.
  • Monitor private spend down and conversions to Medicaid Pending, track Medicaid Pending processes, escalate cases to counties, and use outside attorneys for guardianship or assistance when needed.
  • Complete private advance billing and month-end processes, including data entry, trial-claim review and correction, census reconciliation, and month-end close by the established deadline.
  • Manage accounts receivable collection responsibilities for private pay and decentralized payers, and ensure accurate census and billing information for timely third-party claim filing.
  • Analyze bad debt expense results and develop action plans to improve Revenue Cycle Management outcomes.
  • Participate in or coordinate Revenue Cycle Management reviews, maintain collection notes in the PCC collection module, communicate collection issues to the Center Executive Director, monitor third-party account notes, and respond to Centralized Billing Office requests.
  • Recommend and prepare accounts for outside agencies, attorneys, and write-offs as applicable.
  • Attend center morning meetings, IDT/UM/UR meetings, and other required center or Revenue Cycle Management meetings and calls.
  • Participate in Business Office Manager training, implement new processes with business office staff, follow the Revenue Cycle Management calendar, and review the monthly Revenue Cycle Management newsletter.
  • Prepare documentation for internal and external auditors and work with the Revenue Cycle Manager to resolve general-ledger variances.
  • Ensure residents and families receive high-quality, caring, and compassionate customer service.
  • Perform other duties as assigned.
