Requirements
  • A bachelor's degree in Supply Chain Management, Procurement, Business Administration, Hospitality Management, Engineering, or a related field is required.
  • A minimum of 5–7 years of relevant procurement experience is required.
  • Experience managing procurement projects from budgeting and tendering through delivery and operational handover is required.
  • Strong knowledge of Operating Supplies & Equipment categories across hotel operational departments is required.
  • Knowledge of procurement processes, including requests for quotation, tendering, quotation analysis, commercial evaluation, purchase orders, supplier management, logistics, and inventory coordination, is required.
  • Strong commercial and negotiation skills are required.
  • Numerical and analytical skills, including attention to budgets, quantities, specifications, and project timelines, are required.
  • Project management and organizational capabilities, including the ability to manage several priorities and projects simultaneously, are required.
  • The candidate must be able to work effectively with multidisciplinary teams, including Operations, Finance, Engineering, Projects, consultants, contractors, and suppliers.
  • Supplier relationship management and problem-solving capabilities are required.
  • High proficiency in Microsoft Excel and Microsoft Office is required.
  • Excellent written and verbal communication skills in English are required.
  • The candidate must be willing to travel to project locations, suppliers, factories, and hotel sites as required.
Responsibilities
  • Manage the complete procurement lifecycle for assigned hotel pre-opening projects, focusing on Operating Supplies & Equipment and operational supplies.
  • Coordinate with hotel operations and project teams to establish procurement requirements, quantities, specifications, and delivery schedules.
  • Prepare and maintain pre-opening procurement budgets, purchasing plans, and procurement trackers.
  • Review Operating Supplies & Equipment specifications and align requirements with brand standards and operational needs.
  • Identify, evaluate, and develop a network of local and international suppliers.
  • Manage requests for quotation, requests for proposal, and tendering processes.
  • Obtain, review, and analyze supplier quotations and prepare commercial and technical comparison reports.
  • Lead commercial negotiations covering pricing, payment terms, warranties, lead times, logistics, and contractual conditions.
  • Recommend suppliers based on quality, commercial value, operational suitability, delivery capability, and compliance with project requirements.
  • Coordinate the preparation, approval, and issuance of purchase orders and local purchase orders in accordance with procurement and Finance procedures.
  • Monitor supplier production schedules and follow up on manufacturing progress, quality control, and delivery dates.
  • Coordinate logistics, shipment schedules, customs requirements, warehousing, and delivery arrangements.
  • Monitor procurement lead times against the hotel critical opening path and escalate potential delays or supply risks.
  • Conduct supplier and factory visits to verify production progress, product quality, and specification compliance.
  • Coordinate sample approvals, mock-ups, and product evaluations with relevant operational departments.
  • Ensure purchased products meet technical specifications, operational requirements, brand standards, and applicable quality and safety requirements.
  • Maintain procurement records, including quotations, comparison sheets, approvals, purchase orders, contracts, delivery documentation, and supplier correspondence.
  • Monitor committed and actual procurement expenditure against approved budgets and provide cost and procurement status reporting.
  • Identify cost optimization and value engineering opportunities without compromising operational requirements or guest experience.
  • Work with Finance on documentation, payment processing, supplier reconciliation, and budget control.
  • Coordinate receiving, inspection, inventory verification, and departmental distribution of Operating Supplies & Equipment.
  • Manage snagging, shortages, damaged items, replacements, and outstanding supplier obligations before hotel opening.
  • Coordinate the final procurement handover to the hotel, including documentation, warranties, supplier contacts, inventories, and outstanding matters.
  • Support multiple pre-opening projects simultaneously and provide progress updates, risk assessments, and action plans to Corporate leadership.
  • Contribute to the development and continuous improvement of procurement standards, preferred supplier networks, specifications, and pre-opening procurement processes.
Desired Qualifications
  • Experience in hospitality, hotels, resorts, or large-scale development projects is preferred.
  • Strong experience in hotel pre-opening procurement and Operating Supplies & Equipment is highly preferred.
  • Experience with procurement or enterprise resource planning systems is advantageous.
  • Additional spoken languages are advantageous.
