Requirements
  • At least 2 years of progressive office management experience, preferably in professional services-based organizations such as associations, legal, or accounting organizations.
  • An Associate's Degree or advanced training in business administration, or two additional years of experience.
  • Experience working in a stand-alone office with facilities needs.
  • Advanced proficiency in Microsoft Office.
  • Strong skills in data entry, analysis, and reporting, including experience with associated technology.
  • Demonstrated project, organizational, and stress management skills, with the ability to proactively prioritize and perform multiple tasks.
  • Excellent attention to detail, planning, communication, and follow-through.
  • Proactive problem-solving skills and the ability to identify opportunities and propose solutions.
  • Ability to communicate with empathy, directness, and tact when managing sensitive or confidential situations.
  • Proven ability to handle confidential information with discretion.
  • Ability to lift 50 pounds, climb, stoop, reach, and perform computer work.
  • Periodic local travel, a valid driver's license, and the ability to operate a vehicle.
Responsibilities
  • Welcome and assist visitors, manage incoming calls, direct inventory and samples, and handle general inquiries.
  • Ensure that office spaces, common areas, conference rooms, storage rooms, kitchen, and exterior spaces are clean and in top working order.
  • Manage in-office administrative and operational tasks.
  • Manage facilities, office maintenance, repairs, and upkeep.
  • Identify areas for improvement and implement solutions to enhance office productivity.
  • Manage mail, supplies, and inventory, including shipping, tracking, ordering, and sourcing items.
  • Track and manage office- and event-related expenses against the annual budget.
  • Liaise with vendors and service providers, maintain service contracts, and ensure timely delivery of services and products.
  • Remain available on call for off-hours building needs.
  • Order, print, and organize promotional materials, event materials, and swag.
  • Provide administrative support to marketing, member success, purchasing, People & Culture, Accounting, and other teams as needed.
  • Schedule and coordinate meetings, appointments, and internal and external events.
  • Arrange meeting resources, including rooms, equipment, and food deliveries.
  • Manage calendars, schedules, and appointments for regular office activities and special events.
  • Coordinate with internal teams and external vendors to ensure smooth operations.
  • Support, coordinate, and execute company, partner, and community events, meetings, and conferences.
  • Handle event logistics, including catering and audio-visual requirements, and support communications as needed.
  • Attend events as primary support or host as needed.
Desired Qualifications
  • Knowledge of the food industry.
  • Preferred experience with SharePoint, customer relationship management systems, project management software, accounting systems, or other software-as-a-service tools.
  • Event planning or support experience.
