Requirements
  • Be a current student or recent graduate with an interest in fitness, wellness, or events.
  • Be highly organized and able to manage task lists independently.
  • Be comfortable working in spreadsheets.
  • Be able to write clear, polite emails to vendors.
  • Be willing to perform physical work, including moving boxes, packing gifts, and standing during events.
  • Be available for occasional evening and early morning events and occasional weekend conferences.
Responsibilities
  • Prepare materials for dinners, conferences, and studio activations, including name tags, printed collateral, packing lists, and signage.
  • Format and update run-of-show documents and timelines as event details change.
  • Enter and clean guest-list data, log RSVPs, and print check-in sheets.
  • Pack and ship event supplies to venues and conference booths and track shipments.
  • Assist on site at New York City events with setup, check-in tables, and breakdown.
  • Collect receipts, log expenses in the budget tracker, and take recap notes after each event.
  • Keep Notion event and partner pages tidy and current.
  • Add events to the partner calendar and update dates as they change.
  • Build and clean contact lists in HubSpot, tag contacts by event, and log attendance.
  • Research studios, brands, and industry events and organize findings into simple lists.
  • Schedule calls, book travel, and handle other scheduling logistics as needed.
  • Coordinate weekly gift-box assembly with contractors, format address lists for Shippo, confirm shipments, organize gift-material orders, and track shipments.
  • Assemble, pack, and ship gift boxes for events, partners, and VIP sends.
  • Prepare weekly Oura gift-card upload files for TotusDirect and other vendors.
  • Count and organize swag and gifting inventory at the studio.
  • Photograph gifts and event setups for company files and social media.
Desired Qualifications
  • Experience with HubSpot, Notion, or Canva.
