Requirements
  • The role is full-time and on-site, with the ability to work on weekends when needed.
  • A high school diploma or equivalent is required.
  • The ability to lift patients and carry equipment up to 25 pounds is required; lifting or carrying items over 25 pounds must be done with assistance.
  • Knowledge of Occupational Safety and Health Administration safety techniques, including proper personal protective equipment use, is required.
  • Excellent computer skills, including Microsoft Office applications and office technology, are required.
  • Basic mathematics skills and the ability to calculate medication dosages are required.
  • Client service experience is required.
  • An associate degree in applied science, veterinary technology, or business is a plus.
  • Practice Manager Certification is a plus.
Responsibilities
  • Manage practice financial performance and implement revenue-growth plans with the team.
  • Manage practice expenses, including pharmacy, supplies, labor, and facilities.
  • Ensure appropriate inventory management and balance regular stock with sales needs.
  • Partner with the Managing Doctor of Veterinary Medicine to ensure accurate pricing.
  • Provide input during annual budget planning.
  • Create or analyze performance reports and generate insights to improve performance.
  • Direct successful daily veterinary practice operations so doctors and technicians can manage their workloads effectively.
  • Ensure practice technology is functioning appropriately.
  • Ensure compliance with regulatory agencies, monitor violations and dangerous situations, document and report incidents, and partner with the Regional Director of Operations when appropriate.
  • Ensure practice cleanliness and an environment that supports an excellent client experience.
  • Manage staff scheduling and ensure patient scheduling meets client and team needs.
  • Manage vendor and supplier relationships for practice supplies, tools, equipment, and resources.
  • Track employee payroll accurately and on time, maintain payroll records, ensure regulatory compliance, address payroll inquiries, and resolve discrepancies.
  • Process accounts payable, including invoices, purchase verification, discrepancy reconciliation, and record maintenance.
  • Partner with the Managing Doctor of Veterinary Medicine to maintain a legally compliant medical record system.
  • Review client feedback, identify practice-improvement opportunities, engage with clients, and resolve problems.
  • Collaborate with Heartland Marketing to develop and implement a practice-aligned marketing strategy, oversee social media, foster community relationships, and support local initiatives.
  • Ensure appropriate staffing and partner with Heartland Recruiting to fill open requisitions.
  • Build relationships with veterinarians, support staff, distributor representatives, and support-center partners to improve operational efficiency, client experience, and practice growth.
  • Support the client reception area when necessary and support veterinarians when technically qualified.
  • Partner with Heartland Support Center as needed.
  • Partner with the Managing Doctor of Veterinary Medicine to ensure adherence to operating procedures, accurate and complete veterinary records, and compliant reports.
  • Ensure compliance with Occupational Safety and Health Administration, Drug Enforcement Administration, Equal Employment Opportunity Commission, Americans with Disabilities Act, and Department of Labor requirements; develop and maintain related procedures.
  • Ensure team members complete annual compliance, policy, safety, and training activities.
  • Maintain confidentiality and secure employee records.
  • Execute annual performance evaluations and salary increases.
  • Conduct staff meetings, trainings, and team activities.
  • Partner with the Regional Director of Operations and Human Resources team on employee relations, company policy, and labor-law matters.
  • Conduct regular team-member check-ins to ensure employees have the tools and support needed to complete their work and deliver a strong client experience.
  • Monitor team engagement, balance, and productivity.
  • Track each team member’s performance, recognize successful performance, and manage corrective actions when performance is off track.
  • Seek support from the Regional Director of Operations, Human Resources, or other Heartland team members to ensure team success.
  • Ensure professional development and regular feedback for team members.
  • Perform other duties as assigned.
