Responsibilities
  • Oversee a complex network of 18 Advisory Boards including the Divisional Advisory Board, the Commander’s Advisory Council, and locally based Corps Advisory Councils and County Advisory Boards.
  • Manage all aspects of Divisional Advisory Board Meetings including scheduling and timely invites, drafting agendas, preparing materials, coordinating event logistics, taking meeting minutes, and handling follow-ups.
  • Manage Board Accountability and Timeline including tracking tasks and commitments, terms, giving and recognition, and ensuring follow-through.
  • Develop a regular cadence of Board update emails (Board Dashboard, Upcoming Board Member meetings, Giving updates).
  • Audit Board materials and ensure proper updates and storage.
  • Maintain the Active Board list with contact information and demographics.
  • Directly manage the Nominating and Governance Committee and Fundraising and Marketing Committees of the Divisional Advisory Board, including meeting logistics, agendas, materials, and follow-ups; coordinate with other staff for other committees; collect minutes.
  • Coordinate with colleagues to ensure other Divisional Advisory Board Committees have regularly scheduled meetings; collect meeting minutes for records.
  • Create and distribute a bi-monthly Advisory Board newsletter; develop and implement Board Communications and Engagement Calendar; review 1:1 meeting plans; coordinate donor relations for stewardship; plan and execute Board social events; coordinate annual Engagement Planning meetings; collaborate with Echelon Staff Liaison for young professionals engagement.
  • Plan and prepare materials for Advisory Board member gift solicitations; work with Donor Relations on stewardship plans.
  • Collaborate with Donor Relations staff to plan materials for Advisory Board member gift solicitations; engage with leadership on engagement calendar and 1:1 meetings.
  • Engage with the Echelon Staff Liaison to engage young professionals in networking and events with Advisory Board members and support Echelon activities as needed.
  • Maintain a pipeline of prospective members; identify quality prospects; create research profiles; update prospect lists; track prospect engagement and readiness for asks.
  • Manage new Board member onboarding process including updating materials, coordinating introductory calls/meetings, scheduling onboarding sessions, participating in onboarding sessions, and updating member data.
  • Attend Advisory Organization meetings as needed to provide support; train local staff and Board members on best practices; engage with local staff and Officers.
  • Strategize for engaging local advisory organizations with Divisional Board members and leadership; ensure at least one member Liaison in each region.
  • Work with Divisional Director of Philanthropy and organizational leadership to determine strategy for launching new Advisory Organizations; provide administrative support and training for local staff in launching new groups.
  • Maintain pipeline of prospective members and collaborate with donor relations staff and local Officers to identify prospects; create research profiles and brief Officers on prospects; support recruitment efforts by coordinating introductions and customizing materials.
  • Other responsibilities as assigned.
