Requirements
  • Working knowledge of hotel banquet, catering, food and beverage services, policies, and operations.
  • Knowledge of Delphi; PEP knowledge is a plus.
  • Ability to compile facts and figures in accordance with established procedures.

  • Ability to bend and kneel occasionally for taping down cords, skirting tables, and picking up the floor after functions.
  • Mobility to service clients on a moment’s notice across variable distances.
  • Ability to stand continuously for function observation and client site inspections for one to four hours.
  • Ability to climb approximately 55 stairs during 3–5% of a 10-hour workday.
  • More than two years of post-high-school education.
  • At least two years of employment in a related position with this company or another hotel organization.
  • Ability to operate a computer, copier, telephone, calculator, facsimile machine, and vacuum cleaner.
Responsibilities
  • Plan, organize, and manage in-house details for group, local, and social bookings, including guest rooms, corporate events, social events, menus, and set-up.
  • Participate in negotiating meetings, functions, rooms, rates, and related requirements.
  • Maximize room and meeting space, revenues, and profits while delivering a quality product.
  • Coordinate event planning from group contract signing onward, including VIP needs, amenities, group resumes, and rooming lists.
  • Manage and plan meetings, conventions, sports teams, entertainment clients, and related activities.
  • Attend banquet event order, resume, pickup, and staff meetings and serve as a team leader for hotel department staff participating in event delivery.
  • Coordinate group business developed by the sales manager and follow up on signed or contracted business within five working days.
  • Determine and coordinate all event planning needs.
  • Maintain accurate, organized, and current files and documentation.
  • Develop customer profiles and maintain an effective trace system with trace dates and references.
  • Develop customer relationships through appropriate client communication and professional, courteous, and ethical interactions.
  • Follow up efficiently on client needs and inquiries.
  • Retain accounts and clients, maximize account-space yield opportunities, and focus on revenue-generating activity and sales effectiveness.
  • Detail and up-sell programs with clients, including space requirements, audio-visual needs, times, equipment, menus, themes, and decorations.
  • Prepare resumes, banquet event orders, and other paperwork to ensure quality service.
  • Manage function details and related activities to satisfy program requirements.
  • Anticipate and handle customer complaints and problems to ensure quality product delivery, customer satisfaction, and repeat business.
  • Participate in developing new sales tools, menus, themes, and decorations.
  • Analyze competitors’ products and assess customer needs to improve convention-services products.
  • Monitor and control individual client event budgets and details to maximize revenues and minimize expenses while delivering a quality product.
  • Work with banquet and banquet-kitchen departments to ensure timely delivery and execution of events.
  • Attend and lead pre-conference meetings, coordinate pre-conferences between clients and hotel staff, and review banquet event order details with all parties.
  • Act as a department leader and liaison with the operations team to support communication, training, standard operating procedures, and overall hotel success.
