Job Summary:

The Operations Coordinator coordinates and executes all key employee, customer, and commercial teams tours at the West Henrietta facility, managing logistics, vendors, schedules, and on site support to ensure smooth, high quality experiences that align with site priorities and operational needs.  Aligns with corporate guidelines on branding and supporting commercial teams with key customer interactions.  Lead engagement teams to drive engagement activities.  Act as a back up to current administrative assistant and reception when necessary.

Knowledge, Skills and Abilities:

• Microsoft Office Suite with a proficiency in Excel.  ERP systems and Warehouse Management systems experience required.

• Presentation skills required. 

• Proven ability to prioritize and manage multiple tasks efficiently.

• Skilled in managing customer expectations and requests with a solutions-oriented approach.

• Excellent interpersonal and communication skills, with the ability to collaborate effectively with diverse teams and all levels of management.

• Demonstrated strength in project management and organizational capabilities.

• Highly focused on delivering exceptional customer service on multiple platforms

Work Environment:

• Normal warehouse and office environment with some exposure to dust, heat, cold, and noise. 

Experience:

• 5+ years experience in event planning and management
• Warehouse and distribution knowledge preferred

• 5+ travel planning and arraignments

Education:

• Associates Degree Required 
• Bachelors Degree preferred

For U.S. locations that require disclosure of compensation, the starting base pay for this role is between $25.67 and $31.22 per hour and may include cost of living adjustments.  The actual base pay includes many factors and is subject to change and modification in the future.  This position may also be eligible for other types of compensation and benefits.

1. Partner with corporate marketing, communications and professional affairs

2. Plan and schedule plant tours in coordination with Operations and the commercial organizations.

3. Conduct engaging, accurate, and safety-compliant tours.

4. Prepare facility readiness (badges, PPE kits, demo materials, rooms, signage).

5. Maintain visitor logs, NDAs, acknowledgments, and version-controlled talking points.

6. Keep visual aids, route maps, and content aligned with current processes.

7. Develop and maintain tour guide materials

8. Provide post-tour follow-up and feedback collection.

9. Responsibilities are not limited to the items listed above; additional duties may be assigned as business needs evolve to support plant operations, visitor engagement, and cross functional priorities including supporting our sister locations 

10. Serve as the primary interface between visitors and plant functions.

11. Route visitor questions to subject matter experts and ensure timely follow-up.

12. Stay informed of changes affecting routes, safety, or messaging.

13. Represent the plant professionally to all internal and external visitors.

14. Coordinate all travel logistics for Corporate Events, including ground transportation, aviation arrangements, and hotel accommodations for attendees and executives.

15. Oversee vendor management for event services such as transportation, and accommodations, ensuring seamless and cost-effective event execution.

16. Develop and maintain detailed travel itineraries and logistics schedules to ensure all aspects of transportation and accommodations were handled efficiently.

17. Uphold strict confidentiality when handling sensitive information related to logistics and events.

18. Collaborate with internal teams and external vendors, including Catering, IT, Global Security, commercial, engagement.

19. Assist in coordinating assigned corporate events while adhering to established policies and procedures to ensure customer satisfaction.

20. Develop, deploy, and oversee registration tools, onsite applications, and other event-related deliverables.

21. Utilize department technology platforms, such as SharePoint, and Microsoft Office 365, to support event planning and departmental activities

22. Lead engagement team activities and execute team ideas

23. Will provide administrative support to other functions as necessary
