Requirements
  • More than two years of post-high-school education.
  • One to two full years of employment in a related position.
  • Working knowledge of banquet and catering food and beverage services, policies, or operations.

Responsibilities
  • Plan, organize, and manage in-house details for large-group and convention bookings, including guest rooms, menus, and setups.
  • Participate in negotiating meetings, functions, rooms, rates, and related requirements.
  • Coordinate event planning from group-contract signing forward, including VIP needs, amenities, group resumes, and rooming lists.
  • Manage and plan meetings, conventions, and related activities.
  • Attend banquet event order and staff meetings and serve as a team leader for hotel department staff participating in event delivery.
  • Achieve at least 90% of established productivity goals and 100% of established activity goals.
  • Coordinate group business developed by the sales manager and follow up on signed or contracted business within five working days.
  • Determine and coordinate all event planning needs.
  • Maintain accurate, organized, and current files to support clients and the employer.
  • Develop customer profiles and maintain an effective trace system with trace dates and references.
  • Develop customer relationships through appropriate client communication and professional, courteous, and ethical interactions.
  • Follow up efficiently on client needs and inquiries.
  • Focus on revenue-generating activity by retaining accounts and clients, maximizing account-yield opportunities, and improving sales effectiveness.
  • Detail, upsell, and finalize programs with clients, including space requirements, audiovisual services, times, equipment, menus, themes, and decorations.
  • Prepare resumes and paperwork to ensure quality service.
  • Manage function details and related activities to satisfy program requirements and deliver quality products.
  • Anticipate and handle customer complaints and problems to support customer satisfaction and repeat business.
  • Oversee billing details for hotel groups, including deposits, direct-bill applications, credit-card authorizations, and coordination with accounting.
  • Improve convention-services products by helping develop sales tools and systems, analyzing competitors' products, and analyzing and satisfying customer needs.
  • Monitor and control individual client event budgets and details to maximize revenue and minimize expenses.
  • Attend and lead pre-conference meetings as needed, coordinate pre-conferences between clients and hotel staff, and review banquet event order details with all parties.
  • Close out groups by recording pickup in the CITY sales system and commission owed, including processing with accounting.
