Requirements

Responsibilities
  • Schedule, cancel, reschedule, and register outpatient visits and procedures for multiple ambulatory clinics by collecting the information needed for scheduling and registration preparation.
  • Check in and check out patients according to scheduling and registration guidelines, prioritizing according to patient needs.
  • Obtain and verify patient guarantor information at least annually to keep patient records current, generating referrals or authorizations when needed.
  • Schedule and register patients based on scheduling guidelines, medical appropriateness, and the appropriate clinic.
  • Coordinate follow-up appointments and testing with patients at checkout.
  • Collect all information needed to schedule and register patients for appointments.
  • Identify and communicate the need for scheduling modifications and development.
  • Notify appropriate personnel promptly of scheduling changes caused by patient cancellations.
  • Respond appropriately to patient and staff needs and complaints within the patient-care environment, involving department supervisors and patient representatives when needed.
  • Consult with referring physicians’ offices to confirm that written or electronic orders exist and obtain them when necessary.
  • Verify that received orders and notes are complete and document requests for outside orders.
  • Collect time-of-service payments and copayments during patient check-in and checkout.
  • Reconcile the cash drawer and its contents at the end of the day and report discrepancies to a supervisor or manager.
  • Collect all required managed-care waiver signatures at check-in.
  • Complete Workques and daily tasks promptly according to the assigned scheduling area.
  • Respond to all patient communications in a timely manner.
