Requirements
  • Some college courses or a high school diploma and training in a related field.
  • A minimum of 2 years of experience in advanced administrative procedures.
  • Ability to monitor budgets and project and procurement processes.
  • Advanced computer knowledge relating to word processing, spreadsheet, and database software packages.
  • Working knowledge of, or ability to learn, web content management software, enterprise resource planning systems, and other departmental systems or applications.
  • Ability to use and retrieve information from databases to perform daily job duties.
  • Ability to coordinate programs, work in a fast-paced environment, and utilize new technology.
  • Strong interpersonal, problem-solving, and research skills.
  • Ability to maintain and monitor budgets.
  • Effective verbal and written communication skills.
  • Ability to maintain highly confidential employee, student, program, and grant files.
  • Satisfactory completion of a criminal background check as a condition of employment.
Responsibilities
  • Lead the centralized administrative support function for all Academic Achievement Programs.
  • Supervise, assign, and train administrative personnel and student assistants.
  • Oversee and coordinate daily administrative and operational activities supporting departmental programs, grants, and services.
  • Research, collect, and interpret data to provide information, develop programs, make recommendations, and prepare materials.
  • Evaluate programs, contribute to decision-making processes, and assist in administering new policies and procedures.
  • Manage departmental calendars, organize meetings, and coordinate events and travel arrangements.
  • Oversee procurement processes for all programs.
  • Support departmental budget processes by monitoring budgets, tracking expenses, managing procurement cards, and reconciling budget materials.
  • Maintain current information and websites, including coordinating content updates and collaborating with university partners.
  • Create correspondence, spreadsheets, reports, and documents using software applications.
  • Update and maintain databases and filing systems.
  • Serve as a liaison and provide information to the campus and external community.
  • Manage the AAP Student Center, including scheduling, event logistics, space-use monitoring, and compliance with established guidelines.
  • Maintain the AAP Student Center computer lab, including equipment maintenance, troubleshooting, and inventory management.
  • Serve as the primary liaison for University Information Technology and Computer Services.
  • Act as a liaison with Human Resources regarding recruiting and related processes and procedures.
  • Interpret policies and procedures and communicate decisions and directives to support staff, faculty, and student assistants.
  • Provide assistance to supervisors in administering departmental programs and activities and relieve them of routine and non-routine administrative duties.
Desired Qualifications
  • A bachelor's degree.
  • Two years of experience monitoring programs, grants, and/or projects.
  • Supervisory skills.
