Requirements
  • Has experience in facilities coordination or management roles in corporate environments
  • Has great people skills, positive attitude and good communication skills
  • Is professional, friendly and can cover the front desk seamlessly
  • Is humble, patient and kind to staff. Always willing to help and assist others
  • Able to make things happen and gets things done. No task is too small, always bringing a can do attitude
  • Technologically savvy. Able to close out facilities tickets, and work with various program management tools
  • A self starter who consistently is anticipating facility and safety needs; proactively taking action and repairing things in the office
  • Is comfortable with change and ambiguity. Expect the role to evolve and new projects to come up regularly. We need someone willing to roll with the punches and take on new responsibilities as they arise
  • This will be an in office role; proof of vaccination may be required
Responsibilities
  • Handle facilities requests (HVAC, lights out, leaks) general maintenance calls throughout the building
  • Work with and manage the relationships with the building operator, maintenance personnel and supervise support workers when on-site
  • Able and happy to repair things when they break, assemble furniture, hang pictures, change light bulbs, handle paint touch ups and carry out general day to day maintenance tasks (unafraid of a power drill)
  • Support front desk operations/reception when needed Monday - Friday, 8:00 a.m. - 4:30 p.m
  • Prepare the office each morning by re-staging meeting rooms, and common areas and making sure the office is in order. Set-up and rearrange office furniture for events
  • Assist with access control and security pass distribution and documentation
  • Accepting and unboxing large deliveries as well as assisting our regular vendors with freight elevators. Coordinating courier deliveries for teammates and clients
  • Manage the office equipment distribution/reimbursement program
  • Support all areas of heath & safety: willing to be first aid trained, maintaining first aid kits, a fire warden, leading the charge during fire drills and with emergency evacuation plans
  • Carrying out regular walk-throughs, identifying safety hazards/issues within the office and remedying them when possible
  • Assess new vendors or programs we are interested in onboarding. Take on project coordination opportunities when they arise
  • Reporting to the Workplace Ops Manager regularly. We're looking for a true team player willing to take direction
  • Comfortable with Google docs and sheets; documenting processes and keeping maintenance records
  • Track maintenance spend and manage annual maintenance budget
