Requirements
  • A high school diploma or equivalent is required.
  • At least 2 years of Medical Assistant experience is required.
  • At least 5 years of experience, or medical military experience in lieu of the required certifications, is required.
  • A valid state driver’s license is required.
  • The candidate must pass a motor vehicle record background check.
  • Basic Life Support certification is required or must be obtained.
  • Knowledge of medical office management systems and procedures is required.
  • Proficiency in Microsoft Office and patient management software is required.
  • Keyboard proficiency is required.
  • Experience using electronic health records is required.
  • The ability to travel between facility locations, remote facilities, and out-of-town locations as needed is required.
Responsibilities
  • Supervise and support team members and business operations.
  • Ensure daily operations, including inventory management and patient call-backs, are completed regularly with follow-up from the Regional Operations Manager.
  • Conduct monthly inventory checks.
  • Approve orders.
  • Assist the On-Site Manager in resolving patient concerns at the center.
  • Provide weekly oversight of calibrator calls.
  • Drive key performance indicators and strategic initiatives in partnership with the On-Site Manager, including net promoter score, left-without-being-seen metrics, registration errors, conversion pay, and quality metrics.
  • Conduct site walk-throughs.
  • Assist the center during patient rushes and fill open shifts or call-outs when needed without using premium pay.
  • Assist with manager-on-duty duties during weekly leadership meetings, conference calls, leadership events, and weekends.
  • Conduct performance reviews and assist with training and assessing team members assigned to the center.
  • Participate in interviews and provide feedback on new-hire selection.
  • Conduct patient registration, including securing required paperwork and insurance documentation and verifying insurance and patient eligibility.
  • Process co-pays and schedule patient appointments for the assigned center.
  • Coordinate provider referrals to assigned specialists.
  • Answer patient questions about their care and keep them informed of their status.
  • Inform technical staff about patient flow.
  • Prepare patients for examinations by conducting interviews to verify patient information, recording medical history, and confirming the purpose of the visit.
  • Perform preliminary physical tests, including blood pressure, weight, and temperature measurements, and escalate critical cases to the provider as needed.
  • Conduct point-of-care testing, including flu, strep, urinalysis, electrocardiography, and human chorionic gonadotropin testing, and provide patient information to the provider.
  • Stock supplies and maintain exam rooms, the front desk, and the reception area; ensure providers have needed medical supplies.
  • Complete order sheets to maintain supply inventory levels and regularly check supply expiration dates.
  • Maintain medical records and scan charts into patient files.
  • Answer phone calls and collect and sort daily incoming and outgoing postal correspondence.
  • Maintain the reception area.
  • Conduct courtesy call-backs for patient follow-up.
  • Perform opening and closing duties, including end-of-day communication and securing the building.
  • Follow operating instructions to perform and document daily equipment controls and calibration; maintain quality assurance and quality control logs, troubleshoot equipment breakdowns, perform preventive maintenance, and submit repair tickets as needed.
  • Support the On-Site Manager in collaborating with the People Business Partner to issue disciplinary action notices and performance improvement plans according to company policies.
  • Assist Operations Administrators with call-out management when needed.
  • Perform other duties as assigned.
Desired Qualifications
  • Graduation from a Medical Assistant Program is preferred.
  • At least 1 year of Medical Assistant experience under a licensed healthcare supervisor within the last 3 years is preferred.
  • Knowledge of medical terminology is strongly preferred.
