Position Summary: The Document Control Manager will work within the Engineering department and will report to the Program Engineer. They will work closely with the project team. The Document Control Manager will manage company documents while also ensuring their accuracy, quality, and integrity. They will ensure the company adheres to record retention policies, safeguard information, and retrieve data more effectively. To support Hoffman’s dedication to its people this position will be located fully on site.
Essential Responsibilities:
- Process and maintain contractually required data, including but not limited to master copies of drawings and specifications, submittals, RFI's, minutes, drawings, approvals, closeout data and correspondence in accordance with the contract documents.
- Plan, control, and track the generation and distribution of electronic and hard copies of data to and from the client, architect/engineer, and other data developers and coordinate the production and timely distribution to subcontractors, vendors and the construction project team.
- Monitor and ensure that all data requirements are satisfied in accordance with the established budgets and schedules.
- Track and maintain the soft copies of the project records will be done through the use of Prolog software.
- Assist with file migrations and audits and perform administrative tasks as needed.
- Must be able to multitask and be able to maintain the electronic documentation for the project.

- Proficient in Windows and Microsoft Office 365 (Excel, Word, Outlook, PowerPoint, and Teams), and have a general understanding of working within a computer network.
- Proficient in project management software (Procore) and Bluebeam.
- Highly developed visual observation and interpretation skills.
- Experience in organizing technical data in a neat and accurate method. Familiar with CSI specification system for construction.
- Ability to work well and maintain a cooperative attitude through high-pressure situations.
- Excellent time-management skills and ability to multi-task and prioritize work while frequently interrupted by phone calls and questions on work in progress.
- Excellent written and oral communication skills with an ability to develop strong interpersonal relationships.
- Ability to work closely with a variety of trade and craft people in a fieldwork situation. Patience and professionalism are essential.

Professional Experience and Education
- A minimum of one (1) year of data entry is required.
- A minimum of three (3) years of Document Control Management experience preferred.
- A minimum of one (1) year of construction office experience preferred.
- High School diploma or GED required.
