Requirements
  • A high school diploma or GED equivalent is required.
  • At least 3 years of work experience in a medical facility is required.
  • Ability to lead and coach teams to drive positive outcomes and excellence.
  • Strong business acumen and acuity.
  • Knowledge of general operations standards, functions, methods, techniques, practices, processes, and procedures.
  • Understanding of regulatory standards and applicable local, state, and federal laws.
  • Critical reasoning, decision-making, and problem-solving skills to analyze situations, determine risks, find solutions, prevent future issues, and resolve recurring defects.
  • Organizational skills and attention to detail to handle multiple tasks, short deadlines, frequent interruptions, and shifting priorities.
  • Leadership, training, written and verbal communication, interpersonal, and presentation skills.
  • Working knowledge of medical insurance and/or electronic medical record systems.
  • Skill in operating phones, personal computers, software, and basic information technology systems.
  • Ability to communicate professionally and courteously with employees, patients, and other individuals.
  • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook, as well as word-processing, spreadsheet, database, email, and presentation software.
  • Ability and willingness to travel locally, regionally, and nationwide up to 10% of the time.
  • Spoken and written fluency in English.
Responsibilities
  • Organize and direct the work of front desk staff and coordinate staff activities and schedules to ensure effective patient care services.
  • Ensure front desk quality standards and organizational standards are met.
  • Train, guide, and support Care Facilitators and ensure they have the tools and resources needed to perform their duties.
  • Lead front-office center operations, including quality, compliance, human resources, patient experience, and direct supervision of employees.
  • Lead the VIP customer experience from center entry to exit.
  • Lead a team of Care Facilitators and other front desk staff by setting performance goals, developing talent, and implementing improvements.
  • Build team culture and engagement, promote retention, provide onboarding expectations, and conduct facilitated coaching and leadership rounding.
  • Execute the core operating model and Center Playbook procedures.
  • Lead engagement and development, operational excellence, and scheduling optimization.
  • Monitor patient-flow metrics and efficiencies and communicate desired outcomes to front desk staff.
  • Maintain focus on patient retention and positive customer experience and remain accessible to team members and patients.
  • Adhere to enterprise scheduling templates and ensure patients are assigned and scheduled.
  • Ensure high-priority and high-risk patients are scheduled at least biweekly.
  • Schedule immediate inpatient and emergency-department discharge follow-up and perform daily follow-up.
  • Partner with the growth team to complete THV-EE and CMAP scheduling.
  • Ensure Care Facilitators have resources and clearly defined priorities.
  • Contribute to hiring and selection of Care Facilitators and other front desk staff.
  • Assist patients in and out of vehicles and open doors for patients.
  • Check on patients waiting longer than 10 minutes and provide updates.
  • Monitor performance and implement corrective action plans to ensure OSHA, clinical, and quality standards are met.
  • Serve as the first point of contact and resolution for escalated patient issues, concerns, and disputes.
  • Support primary-care-provider scheduling by maintaining appropriate blocks and preventing double, over-, and under-booking.
  • Ensure scheduling gaps are addressed and closed promptly.
  • Review ENS notifications and ensure patients receive follow-up from their care teams.
  • Examine medical release forms for accuracy and primary-care-provider sign-off before releasing medical records.
  • Check the electronic fax folder and ensure received documents are correctly uploaded and indexed.
  • Review phone messages for proper and timely routing and follow-up.
  • Ensure after-hours patient messages are recorded in medical records and followed up on by the appropriate discipline.
  • Troubleshoot dashboard, phone, and computer issues.
  • Order office and other supplies and ensure the center is inventoried, stocked, and maintained.
  • Fill in for Care Facilitators during scheduled and unscheduled absences.
  • Cover front desk tasks and duties according to business needs.
  • Assist with new-patient paperwork and New Patient Welcome and Tours.
  • Perform other duties assigned or modified by the manager.
Desired Qualifications
  • Some college coursework is preferred.
  • Basic Life Support for Healthcare Providers certification is desired.

During his tenure, he led talent acquisition initiatives supporting more than 400 dental practices and over 900 dentists across multiple states, helping the organization strengthen its workforce and support continued growth.
