Responsibilities
  • The position administers day-to-day payroll operations and ensures accurate and timely payroll processing in compliance with federal and state wage and hour laws, tax regulations, collective bargaining agreements, and hospital policies.
  • The position reviews, analyzes, and interprets payroll requirements, collective bargaining agreement provisions, policies, and applicable regulations to determine appropriate payroll treatment and resolve complex payroll issues.
  • The position reviews employee pay, timekeeping, deductions, premiums, differentials, retroactive adjustments, and other payroll transactions; identifies discrepancies; and determines corrective action.
  • The position performs and validates gross-to-net payroll processing and reviews payroll results for accuracy, compliance, and unusual or high-risk transactions before final processing.
  • The position serves as a payroll subject-matter resource to Human Resources, leaders, employees, and other departments regarding payroll practices, wage calculations, timekeeping requirements, and payroll-related policies and contractual provisions.
  • The position identifies payroll compliance risks, researches and resolves complex payroll matters, and escalates significant legal, contractual, financial, or policy concerns to appropriate leadership when necessary.
  • The position evaluates payroll processes and internal controls and recommends improvements to strengthen accuracy, compliance, efficiency, and data integrity.
  • The position maintains accurate payroll records and employee payroll files in accordance with federal and state requirements, collective bargaining agreements, record-retention requirements, and hospital policies.
  • The position collaborates with Human Resources and other departments to evaluate payroll-related issues, determine cross-functional impacts, and support consistent application of payroll practices.
  • The position processes and reviews accounts payable transactions, including vendor invoices, payment documentation, coding, and supporting information, to ensure accuracy and compliance with financial controls.
  • The position initiates and reviews accounts payable settlement runs, including automated clearing house vendor payments and check processing, and resolves discrepancies or exceptions before payment.
  • The position researches and resolves payroll and accounts payable discrepancies with employees, leaders, vendors, and internal departments.
  • The position coordinates with the second Payroll/Accounts Payable Specialist to maintain payroll and accounts payable coverage, continuity, and internal controls.
  • The position completes payroll and accounts payable reconciliations, reporting, analysis, audits, and assigned special projects.
  • The position handles employee compensation, payroll, banking, tax, and other sensitive financial information confidentially and with appropriate discretion.
  • The position requires significant use of a personal computer, telephone, and general office equipment.
  • The position may require off-site travel.
Desired Qualifications
  • An Associate’s or Bachelor’s degree in Accounting, Finance, Business Administration, or a related field is preferred, or an equivalent combination of education and experience.
  • Certified Payroll Professional certification from the American Payroll Association is desirable.
  • Two or more years of payroll, accounts payable, or general ledger accounting experience are preferred.
