Requirements
  • An Associate or Bachelor degree is required.
  • Three to five years of experience in accounting or bookkeeping is required.
  • Three to five years of experience using Microsoft Office applications is required.
  • Ability to communicate effectively with all levels of management, associates, residents, family members, and outside contacts.
  • Leadership skills and willingness to work harmoniously with others.

  • A Level 2 background screening through the Florida Care Provider Background Screening Clearinghouse is required for Florida companies.
Responsibilities
  • Manage incoming phone calls.
  • Assist the Executive Director and Management Team.
  • Perform Manager On Duty responsibilities when assigned.
  • Maintain vendor contract files.
  • Enter accounts payable information into the Yardi system, including payable data, monthly purchase journals, coding, and invoice approvals.
  • Assign expenses to the proper department code numbers.
  • Maintain the petty cash process and ledger accounting for disbursements.
  • Enter accounts receivable and resident information into the Yardi system.
  • Perform accounts receivable data entry and collect amounts due.
  • Generate accurate resident billing and respond to resident and family inquiries.
  • Make daily bank deposits.
  • Provide financial information and data entry for reports required by the Executive Director.
  • Prepare resident refund requests when applicable.
  • Address past-due accounts according to best-practice standards and use the collections partner as appropriate.
  • Participate in monthly budget variance conferences and provide reports when needed.
  • Assist with community credit-card reconciliation at the direction of the Executive Director.
  • Perform general accounting duties as necessary.
  • Report and track job-related injuries and incidents.
  • Maintain OSHA logs and labor-law, state, and federal regulatory postings.
  • Prepare and maintain associate files and resident financial files.
  • Maintain confidentiality of resident and associate information.
  • Assist with recruiting new associates.
  • Perform new-hire onboarding, including paperwork and adding employees to the HRIS.
  • Enter and assign required courses for new hires and existing associates and assist with the online training system.
  • Assist in administering company benefit programs.
  • Provide support and guidance related to associate leaves of absence.
  • Act as the community liaison regarding company policies and procedures.
  • Assist with counseling, documenting associate grievances and investigations, and tracking corrective actions.
  • Maintain personnel files.
  • Process payroll, including missed punches, holidays, and approved time-off requests; submit payroll reports to the Executive Director and Payroll Manager on the assigned day.
  • Report associate overtime instances to the Executive Director and Department Heads.
  • Send personnel action forms to Payroll and Human Resources in a timely manner.
  • Attend required community meetings and participate in Life Enrichment activities when able.
  • Attend monthly BOM teleconference calls and other required training opportunities.
  • Complete required courses in adherence with HRA University.
  • Perform required duties on a regular and predictable basis.
  • Learn how to report a missing person using the Safe Return program or equivalent.
  • Learn the steps for fire evacuation.
  • Help maintain a safe and secure environment for community residents.
Desired Qualifications
  • Formal training in accounting or bookkeeping is preferred.
  • Experience in Human Resources is preferred.
