Requirements
  • A high school diploma and two years of experience appropriate to the area of assignment or field, or an equivalent combination of experience and training providing comparable knowledge, skills, and abilities.
  • Ability to handle sensitive and confidential performance and financial information with discretion.
  • Ability to clearly communicate to perform essential functions.
  • Ability to perform office, laboratory, and field activities, including extended sitting, keyboarding, mouse use, standing, bending, reaching, lifting, pushing, and pulling up to 25 pounds.
  • Ability to wear required laboratory personal protective equipment, including a lab coat, gloves, safety glasses, closed-toe shoes, and a respirator when required.
  • A successful criminal background check and verification of work history, academic credentials, licenses, and certifications are required.
Responsibilities
  • Manage the Director of the ASU Biocollections’ active calendar of appointments.
  • Proactively track and remind the Director of critical deadlines, including grant reporting, NEON-related budget cycles, and other institutional or project-specific timelines.
  • Assist with scheduling and reminding the Director of annual staff evaluations and prepare and track the required performance-review materials according to university timelines.
  • Assist with travel plans for the Director.
  • Coordinate bimonthly meetings with the ASU Foundation and ensure preparatory materials and briefs are ready for the Director.
  • Serve as the primary administrative liaison between the Director, staff, Collections Managers, NEON Headquarters, and university leadership.
  • Oversee the ASU Biocollections’ general email accounts and outreach requests, evaluate requests, and delegate them to personnel for timely responses concerning tours, research access, and educational functions.
  • Liaise with the SOLS Business Office to gather Biocollections expense reports covering annual budget expenditures, recharge accounts, and endowments.
  • Provide the Director with a monthly snapshot of the Biocollections’ financial status for budget tracking and strategic decision-making.
  • Assist with processing invoices for recharge center activities, including facility rentals, specialized imaging services, and curation service agreements.
  • Prepare and submit expense reports and corporate credit-card reconciliations for the Director.
Desired Qualifications
  • Exceptional organizational skills and the ability to track multiple complex deadlines involving grants, budgets, and evaluations.
  • Previous experience working with ASU systems, including Workday, Concur, and other university administrative systems.
  • Ability to build professional relationships with staff, the ASU Foundation, and partners at NEON Headquarters.
