Requirements
  • A bachelor's degree and 2 years of relevant experience, or an equivalent combination of education and experience.
  • Experience administering NIH grants or other regulatory-agency grants, including both pre-award and post-award reporting and handling federal research grants.
  • Knowledge of and experience with Integrated Online Research Administration and federal grant application platforms such as ASSIST.
  • Excellent communication and interpersonal skills, the ability to handle multiple priorities, and strong organizational skills.
  • Completion of Continuous Learning for Administrators of Sponsored Programs certification within 1 year.
Responsibilities
  • Provide professional-level support in coordinating departmental programs and sponsored research activities.
  • Assist in developing and implementing program policies and procedures, monitor program operations, facilitate stakeholder communication, and support planning and evaluation activities.
  • Manage pre-award and post-award processes for research and programmatic grants, including budget preparation, account setup, expenditure monitoring, and financial reporting.
  • Support faculty in the Department of Neuroscience and the Golisano Intellectual and Developmental Disabilities Institute with complex grant proposal preparation, review, and submission.
  • Develop and monitor budgets, ensure compliance with sponsor and institutional policies, and liaise with the Office of Research and Project Administration.
  • Oversee post-award grant accounts, including progress-report tracking, expense reconciliation, and required reporting.
  • Reconcile and analyze salary and non-salary expenses and prepare and review monthly accounting reports with senior administrators and Principal Investigators.
  • Monitor accounts for appropriate charges and review spending and forecast projections with management and Principal Investigators.
  • Apply NIH and other federal funding-agency policies and ensure research and program activities follow applicable compliance standards.
  • Monitor changes in institutional and sponsor guidelines and advise investigators and staff accordingly.
  • Coordinate operations and special initiatives within the Department of Neuroscience and the Golisano Intellectual and Developmental Disabilities Institute.
  • Support leadership in implementing program strategies, evaluating outcomes, and aligning activities with institutional goals.
  • Plan and organize meetings, retreats, and collaborative events across departments and institutes.
  • Maintain documentation and workflows supporting program execution.
  • Collect, analyze, and synthesize program data; prepare narrative and financial reports, impact summaries, and stakeholder updates.
  • Serve as an administrative resource to faculty, trainees, and collaborators; provide guidance on grant and program procedures, internal systems, and policy interpretation.
  • Provide onboarding and informal training to new investigators and laboratory personnel as needed.
  • Maintain equipment and space inventories using URSpace, enter data and run reports in department databases such as Excel, track equipment and personnel locations, and maintain the capital-equipment tagging process.
  • Attend research-related user groups and administrative meetings, including CLASP, IORA, BETR, P2P, Department of Neuroscience, and GIDDI meetings.
  • Perform other duties as assigned.
