Responsibilities
  • Serve as the primary operational partner to recruiters by managing high-volume and complex interview scheduling, including multi-panel and executive-level interviews across multiple time zones
  • Own interview logistics end-to-end: calendar management, confirmations, candidate communication, interview materials, and day-of support
  • Act as the main point of contact for candidates throughout the interview process, ensuring a seamless, professional, and welcoming experience
  • Partner closely with recruiters, hiring managers, and HR to ensure accuracy, timeliness, and a smooth process from first touchpoint through offer stage
  • Support offer logistics and pre-hire workflows, including offer letters, documentation, and system processes
  • Maintain accurate and up-to-date candidate data in Workday/GEM, ensuring data integrity, compliance, and audit readiness
  • Proactively identify scheduling conflicts, process gaps, or communication needs and surface solutions to the team
  • Support general recruiting operations, including reporting, documentation, and workflow improvements
  • Support the creation, posting, and maintenance of job requisitions across internal and external job boards, ensuring accuracy, consistency, and alignment with approved role details
  • Partner with recruiters and HR to prepare, route, and process offer letters, ensuring all documentation is accurate, compliant, and delivered to candidates in a timely and professional manner
  • Manage updates to job postings, including edits, reposts, and closing out roles, while maintaining clean and organized requisition data in Workday/GEM
  • Assist with pre-hire administrative workflows such as background checks, new-hire documentation, and system updates in partnership with HR Operations
  • Support recruiting event operations across the Recruiting Center of Excellence, including career fairs, campus events, industry activations, internal hiring initiatives, and talent programs
  • Coordinate event logistics end-to-end: venue confirmations, vendor coordination, catering, room setup, timelines, and on-site/virtual execution
  • Manage event communications, attendee tracking, registration, and post-event follow-up
  • Maintain and organize candidate pipelines generated from events to ensure timely follow-up and accurate system tracking
  • Assist with recruiting-related invoicing, purchase orders, vendor payments, and expense reconciliation
  • Prepare event materials, presentations, schedules, and signage for global use
Desired Qualifications
  • Bachelor’s degree in Human Resources, Business, Communications, Marketing, or related field preferred
  • Recruiting coordination experience strongly preferred
  • Proficiency with Microsoft Office Suite and/or Google Workspace; familiarity with Workday or GEM AI a plus
  • Collaborative, proactive, and resourceful, with a genuine interest in entertainment, music, or media
  • A positive attitude, a team-first mindset, and a commitment to creating an exceptional experience for candidates and stakeholders
  • Ability to manage multiple priorities in a fast-paced environment with calm, positivity, and professionalism
  • Ability to work from the Beverly Hills office 2–3 times per week

Live Nation has invested in Romanian promoter Emagic and Slovak booking agency Vivien as part of its expansion across Central and Eastern Europe. The move addresses a significant supply-demand gap, with over 50% of Slovak fans and 47% of Romanian fans travelling to other cities for concerts due to limited local events. Emagic, active since 2005, has promoted major acts including Metallica, Coldplay and Guns N' Roses in Romania. Vivien has brought artists such as Beyoncé, Rammstein and Iron Maiden to Slovakia whilst managing leading Slovak act IMT Smile.
