The Marcus & Millichap Phoenix Office is looking for a Full-Time Administrative Assistant to provide professional support to one of its top investment sales teams. This position will provide support to a successful and growing commercial real estate brokerage team. Potential candidates should have a professional demeanor, strong written, verbal, and mathematical skills as well as good phone manner. Attention to detail and ability to multi-task is essential. Candidate should be comfortable working in a busy, corporate sales environment. Commercial Real Estate experience preferred, but not required
Responsibilities:
- Maintain listing and transaction files
- Data entry of all listing activities including new activations, reactivations, removals, under contract and closed,
- Data entry and proofreading
- Continually prioritize and re-prioritize Agent work requests and follow up with staff members and Agent to ensure timely completion and delivery
- Ensure timely data entry of all new activity on listings
- Providing support in preparation of marketing packages
- Assist maintaining listing information on web based platforms
- Obtain required approvals/initials on documents
Required Knowledge and/or Experience
- Strong knowledge of MS Office required
- Excellent interpersonal and communication skills with people of all personality types
- Ability to maintain strict confidentiality
- Self-motivated, detail oriented, strong organizational skills
- Ability to prioritize multiple projects
- Strong organizational skills, ability to manage multiple priorities and ability to take independent initiative for action within areas of responsibility.
- Prior administrative experience preferred, but not required
