Requirements
  • A Bachelor's Degree in academic or business administration, communication, or a related field is required.
  • A minimum of 3-5 years of experience in academic program management and/or academic advising is required.
  • Strong relationship-building, problem-solving, reasoning, communication, and organization skills are required.
  • A combination of education and proven experience from which comparable knowledge is demonstrated may be considered.
  • Successful completion of a pre-employment background check is required.
Responsibilities
  • Coordinate administrative operations, student services, and communications for the undergraduate physics program, including support for physics majors and minors and enrollment and operational support for physics courses.
  • Manage undergraduate student registration processes, including waitlist administration, prerequisite and corequisite verification, and tracking research course enrollment.
  • Build, update, and manage semester class schedules in the university scheduling system and internal records.
  • Represent the department at Registrar Academic Community Update meetings and serve as the department's primary administrative contact for commencement, final exams, and FCE flags.
  • Partner with the Director of Undergraduate Affairs to plan, execute, and promote the undergraduate metacurricular program.
  • Plan and execute commencement ceremonies, including diploma distribution and tracking university and college honors.
  • Serve as the primary staff contact for undergraduate inquiries, provide guidance on degree requirements and academic deadlines, and connect students with appropriate advisors or campus resources.
  • Manage faculty advisor assignments each semester.
  • Maintain physics program pathways and student audits in Stellic and assist students with Stellic navigation.
  • Collaborate with the Director of Undergraduate Affairs on audits of student progress toward degree completion and degree certification.
  • Maintain and manage undergraduate student email distribution lists.
  • Track and communicate academic deadlines to faculty and coordinate collection and submission of final grades for research courses.
  • Manage the department syllabus repository and prepare documentation for university governing bodies.
  • Coordinate the annual review and update of the undergraduate catalog.
  • Compile student lists and background materials for reappointment, promotion, tenure cases, and award nominations.
  • Administer student surveys and maintain data regarding graduating students and alumni outcomes.
  • Support recruitment and retention of qualified graduate students.
  • Arrange campus visits and prepare and distribute admission and rejection letters.
  • Coordinate enrollment and onboarding of new students and prepare communications to them.
  • Coordinate with the Office of International Education to advise and provide logistical support to international students regarding personal, immigration, visa, and acculturation issues.
  • Manage qualifying and degree completion processes for doctoral candidates, including oral qualifying exams, final oral exams, thesis presentations, and degree certifications.
  • Manage graduate student audits, registration, verification of progress, Stellic profiles, and annual review tracking.
  • Create and maintain graduate class schedules.
  • Coordinate resolution of student academic recordkeeping with the Graduate Education Office.
  • Plan and manage departmental commencement ceremonies or coordinate departmental participation in college commencement ceremonies.
  • Extract data from campus information systems and produce or update reports supporting departmental decision-making.
  • Prepare program reports for the American Institute of Physics, including enrollment trends, census and demographic reports, class rosters and grade reports, student identification for faculty personnel cases, graduate teaching assistant evaluations, and ad hoc analyses.
  • Perform other duties as assigned.
