Requirements
  • A BTS-level training in information and documentation management, or experience as an assistant seeking professional development.
  • Proficiency with Microsoft Office.
  • Experience using tools specific to document management, including an electronic document management system.
  • Basic English skills.
  • A successful initial experience in the pharmaceutical industry.
  • The ability to communicate, work collaboratively, and work cross-functionally.
Responsibilities
  • Participate in defining and structuring document-management repositories and systems for the assigned scope.
  • Ensure the regulatory, quality, and contractual compliance of document-management practices.
  • Ensure the traceability and reliability of document data across the assigned scope.
  • Track documents throughout their lifecycle, from creation or update through archiving.
  • Provide authors with templates for documents to be created or revised.
  • Verify that documents comply with the instructions in the document-management operating procedure; perform quality-control checks and flag missing or expiring documents, formatting inconsistencies, and distribution issues.
  • Register documents in the electronic document management system and assign their associated attributes.
  • Organize and track document-signature workflows, set documents to applicable status, and ensure their distribution.
  • Participate in improving the business document-management system.
  • Perform document self-assessments and compliance checks according to internal processes, and lead the handling of discrepancies.
  • Provide expertise when establishing document-management rules with users.
  • Physically archive quality documentation in accordance with applicable procedures.
