Requirements
  • A high school diploma or educational equivalent is required.
  • Knowledge of general office practices and procedures, Client Service Representative or receptionist duties, and telephone techniques is required.
  • Demonstrated ability to perform clerical work with speed and accuracy, use a multiple-line telephone system, and handle cash and other forms of payment is required.

Responsibilities
  • Answer incoming telephone calls using proper telephone etiquette, operate a multiple-line telephone system, place callers on hold, transfer calls, page staff members, and route messages.
  • Communicate with clients about general inquiries, appointment scheduling, routine and non-routine medical questions, patient emergencies, and prescription refills according to hospital guidelines.
  • Handle basic questions about hospital services, fees, animal care, and treatment, and direct other questions to veterinarians, the Practice Manager, or other staff members.
  • Use active-listening skills to obtain necessary medical and personal information from clients.
  • Identify and appropriately handle client problems, complaints, and questions.
  • Relay medical instructions, itemize and review client statements, and explain hospital policies including pre-operative instructions, payment and credit policies, and vaccination policies.
  • Communicate with clients about invoices and the medical status of their pets.
  • Make timely calls to clients from a callback list and provide information or instructions needed before appointments.
  • Schedule discharge, recheck, outpatient, surgical, hospitalized-patient, and boarding appointments using the computerized scheduling program.
  • Schedule appointments according to hospital guidelines, visit type, veterinarian preference, client needs, and efficient use of staff time.
  • Welcome clients and patients, make them comfortable, offer coffee, and direct them to the waiting area.
  • Monitor the appointment schedule and communicate wait times to clients.
  • Distribute new-client paperwork and gifts to new clients.
  • Enter and retrieve records and reports, enter fees and charges, and maintain the database.
  • Generate financial reports, callback lists, and appointment lists using the computer system.
  • Print client correspondence including reminder cards, letters, thank-you letters, and new-client letters.
  • Promote the hospital’s products and services and make suggestions when appropriate.
  • Adhere to hospital policies, standards, procedures, uniforms, grooming requirements, and standard operating procedures.
  • Communicate basic patient preventative-care protocols to clients and maintain knowledge of the practice’s products and services.
  • Participate in continuing education, staff meetings, and in-house training, and attend staff and departmental meetings as requested.
  • Retrieve and re-file medical records, update client files and patient records, and scan medical documents using the EzyVet patient information management system.
  • Retrieve client records, prepare forms, complete required client and patient forms, obtain necessary information, and note referral sources.
  • Obtain medical and vaccination histories, recognize procedures due for patients, and relay necessary information to veterinarians and technicians.
  • Triage urgent-care patients and communicate with the medical team as appropriate.
  • Accept and accurately process cash, checks, charge cards, credit-account payments, post-dated checks, coupons, and gift certificates.
  • Perform end-of-day procedures including balancing the cash drawer, running daily reports, preparing bank deposits, and presenting reports and receipts to the Practice Manager or owner.
  • Establish credit according to hospital policies and Practice Manager authorization.
  • Assist with cleaning and straightening public areas, the front desk, reception area, restroom, and exam rooms.
  • Restock and arrange retail and point-of-purchase displays and maintain the refreshment area.
  • Open and set up the practice in the morning and close the practice in the evening as directed.
  • Represent the hospital courteously and professionally in interactions with clients, patients, and staff.
  • Seek additional work during downtime, assist other employees, and fill in for other employees as needed.
  • Follow the posted work schedule, report lateness or absences according to policy, use the time clock, organize the work area, manage time, prioritize tasks, and handle multiple tasks calmly.
  • Perform other duties as directed.
Desired Qualifications
  • Knowledge of veterinary medical terminology and procedures is preferred.
  • General computer skills are preferred.
  • At least one year of recent experience in an office or medical environment with increasing responsibilities is preferred.
